Introduction:

Mid-Minnesota Legal Aid (MMLA) is seeking a detail-oriented and mission-driven Payroll Specialist to join our Human Resources team. This position is based in our Minneapolis office and reports directly to the Human Resources Manager. The successful candidate will work fully in the office during the training period to ensure comprehensive onboarding and integration into our processes. Upon completion of training, a hybrid work model will be offered, allowing for a mix of in-office and remote work.

Primary Responsibilities: Process bi-weekly payroll using Paycom, including hourly rates, salaries, off-cycle payments, and deductions Perform manual calculations and ensure accurate payroll deductions for taxes, benefits, and contributions Reconcile payroll with general ledger and monthly bank statements Record and process federal and state payroll tax deposits Ensure timecard completion and resolve related issues Manage employee life-cycle events, including job and pay changes Maintain HSA and 403(b) enrollments and biweekly uploads Prepare and submit PenServ (403b), HSA, and union dues worksheets Maintain payroll records including bi-weekly, quarterly, and annual reports Support annual accounting audits and reporting Assist HR Manager with open enrollment and salary budget updates Collaborate with HR peers on onboarding, leave tracking, union reporting, and compliance Assists the Accounting Team with weekly duties under the direction of the Controller. Address payroll-related inquiries and provide HR support Knowledge, Skills, Abilities, and Other Characteristics

Knowledge

Payroll systems and processes (Paycom preferred) Basic accounting concepts and functions Federal, state, and local tax laws and regulations Labor laws, including wage and hour laws

Skills

Proficiency in Microsoft Office Suite (Excel, Word, Outlook) High level of accuracy and attention to detail Effective verbal and written communication

Abilities

Handle emotionally charged situations with empathy and professionalism Identify and resolve payroll discrepancies Analyze data and make informed decisions Handle sensitive or confidential information with discretion

Two years of experience in payroll, accounting, or bookkeeping Excellent organizational skills and high attention to detail Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook) Proficient with or ability to quickly learn payroll software (e.g., Paycom) Dedication to Diversity, Equity, and Inclusion (DEI) principles Preferred Qualifications:

Bachelor's Degree in Accounting, Human Resources, or related field Certified Payroll Professional (CPP) from the American Payroll Association or similar certification Six months or more experience in payroll preferred This role may require prolonged periods of sitting at a desk and working on a computer Work, volunteer, or lived experience with diverse economic, social, rural, and/or cultural communities

Compensation Information:

$68,075 - $76,647 per year, depending on experience, plus benefits. Salary Determination: Salary is based on relevant prior experience and aligned with our organizational salary matrix. Candidates are placed on the schedule according to years of directly related experience to ensure consistency and equity. Benefits include family medical and dental insurance, short- and long-term disability, life insurance, 403(b) with employer match, FSA, employee assistance programs, and generous paid time off.
