Payroll Specialist
Part-Time, non-exempt
Hourly: $28-$33.00
Reports to: Controller
Non-Benefits Package
During the first 90 days, training will take place onsite. After that period, the role will transition to a hybrid schedule with one in-office day per week (Tuesdays at HQ).
The Payroll Specialist will manage and process accurate, timely payroll for all Chowgirls employees while supporting Accounting and HR with wage, benefits and compliance reporting. This role ensures that all employees; hourly, FTE, salary are paid correctly and that payroll data flows seamlessly between Bamboo and Nowsta. The Payroll Specialist will collaborate closely with the HR and Accounting departments to maintain compliance with wage laws, benefit deductions, paid leave, and reporting deadlines. The Payroll Specialist will report directly to the Controller.
Key Responsibilities
Process bi-weekly payroll for all employees, ensuring accuracy, timeliness, and compliance with federal and state wage regulations
Audit and reconcile time entries in Nowsta, following up with department leads and managers as needed
Maintain accurate employee wage data in BambooHR + Nowsta, including review of new hire/current wage setup, wage changes, terminations, and leave adjustments
Prepare payroll journal entries and collaborate with Accounting for reconciliation
Generate and maintain payroll reports (PTO, SST accruals, benefit deductions, FTE status)
Partner with HR and Accounting to monitor FTE eligibility and provide quarterly compliance reports to support workforce planning and benefits tracking
Process 401K payroll contributions
Monitor compliance of the processing of garnishments and child support withholdings
Process employee wages associated with terminations
Serve as the main point of contact for payroll questions, ensuring transparent and proactive communication with employees
Support year-end processing, audits, and reporting (W-2s, 1099s, 401K, workers’ comp, etc.)
Stay informed on current wage laws and multi-state labor compliance to maintain accuracy and legal alignment
What Success Looks Like
Payroll is processed with 100% accuracy and on schedule every pay period
Payroll data aligns across Bamboo, Nowsta, and accounting records
Payroll information is communicated clearly and proactively to all employees
Quarterly reporting as needed on compliance metrics
Collaboration between HR, Accounting, and department managers; lead with proactive, supportive, and solution-focused outlook
Qualifications
Bachelor’s degree in Accounting, Finance, HR, or related field preferred
5-7+ years of payroll processing experience; hospitality or catering industry experience a plus
Experience with BambooHR, Nowsta, or comparable HRIS/timekeeping systems is preferred but not required
Proficiency in Google Workspace and/or Microsoft Office (Sheets/Excel)
Strong understanding of wage and hour laws, payroll tax compliance, and benefit deductions
Detail-oriented, organized, and dependable; strong problem-solving, confidentiality, and communication skills

Process payroll ensuring all earnings, deductions, and benefits are accurate
Reconcile payroll discrepancies and prepare payroll journals entries for Accounting
Maintain records for stipends, bonuses, reimbursements
Support quarterly and year-end reconciliations and filings (W2s, 1099, etc)
Provide documentation and reports for audits and compliance checks
COMMUNICATION
Proactively communicate work and personal schedule through Slack
Attend and actively participate in all required company meetings
Respond to internal and external communications within 12 hours
Present a professional positive attitude among coworkers, vendors, and clients
Facilitate information flow throughout workplace
Maintain availability for communication by phone, Slack, and email
