The Opportunity We are seeking a Client Service Associate to join our operations and client service team. This hybrid role is ideal for someone who thrives in a detail-oriented, client-focused environment and wants to grow within a collaborative, boutique wealth management firm. You’ll work closely with the Director of Operations and advisory team to support new client onboarding, client service, and ongoing relationship management — ensuring each client experience reflects the firm’s high standard of care.

Key Responsibilities

Serve as a primary contact for client inquiries via phone, email, and client portal.

Facilitate account onboarding and maintenance through Schwab, including new accounts, transfers (ACATs), money movement, beneficiary updates, and RMD requests.

Prepare and send documents for signature via DocuSign, ensuring all forms are accurate, complete, and compliant with custodian requirements.

Manage client data and workflows in Wealthbox CRM, ensuring tasks, notes, and follow-ups are accurately tracked and completed on schedule.

Prepare client meeting materials, track follow-up tasks in Wealthbox, and coordinate with the team to ensure all action items are completed on time.

Work with advisors to keep client and custodial documentation up to date and compliant with RIA and Schwab requirements.

Recommend workflow improvements to enhance efficiency and service quality.

Assist with any additional administrative or operational tasks as assigned to support the team.

Qualifications

Relevant professional experience in financial services, ideally with a Registered Investment Advisor (RIA) or financial advisory firm; an associate’s degree or equivalent education preferred.

Familiarity with Charles Schwab Advisor Center or similar custodial platforms and workflows.

Experience using CRM, digital signature, and portfolio reporting systems in a financial services environment is highly advantageous.

Excellent organizational skills and attention to detail.

Clear, professional communication skills — both verbal and written.

Self-motivated with strong follow-through and ability to manage multiple priorities.
