Front Desk Office Administrator
to join our team in
Chantilly, VA . The Front Desk Office Administrator will be the first point of contact and is crucial for maintaining a welcoming office environment, ensuring smooth daily operations, and providing essential administrative support to the entire team.
Responsibilities
Reception and Guest Services: Warmly welcome all visitors, clients, and vendors, determine the nature of their visit, and direct them to the appropriate personnel or meeting space; professionally answer, screen, and forward incoming emails, calls to the correct departments or individuals.
Receive, sort, distribute, and process incoming and outgoing mail, packages, and courier deliveries.
Administrative & Operational Support: Scheduling & Booking—manage conference room bookings, coordinate visitor visits and parking, and assist with scheduling internal and external meetings as needed; monitor inventory of office supplies, place orders when necessary, and ensure the reception, conference rooms, and common areas are always stocked and tidy; assist with basic filing, scanning, copying, and organizing of office documents.
Liaise with building management, maintenance, and external vendors for facility-related needs.
General Office Support: Provide general administrative support to various departments, which may include data entry, preparing basic correspondence, or minor report generation; ensure the front office, lobby, and common areas are always presentable, professional, and organized.
Oversee visitor sign‑in/out procedures and ensure adherence to office security protocols.
Minimum Qualifications
High school diploma and minimum of 2-3 years of experience in an office administration, reception, or customer service role.
Excellent verbal and written communication skills; ability to interact effectively with people at all levels.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment (multi‑line phone systems, copiers, scanners).
Exceptional organizational and time management skills, with a keen eye for detail.
Ability to maintain a professional demeanor and strong work ethic to handle sensitive or confidential information discreetly.
Clearance Requirements
Must be a US Citizen and be able to obtain and maintain an Interim Secret clearance prior to starting this position.
Physical Requirements
Ability to sit/stand for extended periods.
Must be able to lift and move up to 15 lbs. occasionally (e.g., managing office supply deliveries).
Must be able to remain in a stationary position for up to 50% of the time.
Must be able to deliver clear and effective communication both verbally and non‑verbally to deliver updates, briefings, or interface with co‑workers; leadership as well as customer.
Must be able to work in warehouse and office environments and be able to freely move within this space to utilize office equipment as well as interface with co‑workers and customer.
Must be able to effectively use IT peripherals such as laptop, desktop, printer, fax machine, etc.
Must be able to deliver presentations as needed.
Must be able to review; decipher and understand program manuals; IT service requests; work orders; etc.
