Purpose of Job Class (Nature of Work) In a state agency, this class is accountable for independently performing a full range of general clerical functions or carrying out responsibility for flow and completion of clerical work in an assigned area.
Examples of Duties
TYPING
Types various materials; enters and retrieves data on computers, tablets, and other electronic equipment.
FILING
Sets up and maintains office procedures, filing, indexing systems and forms for own use.
CORRESPONDENCE
Composes routine correspondence.
REPORT WRITING
Compiles and generates recurrent technical, statistical or financial reports requiring judgment in selection and presentation of data.
INTERPERSONAL
Provides general information and referral services to citizens or colleagues.
Applies agency policies, state statutes, regulations to determine case status or assist requests.
May lead lower-level employees in assigned clerical functions.
PROCESSING
Maintains calendars of due dates; initiates recurring work or special projects.
Processes documents determining routine case status; exercises discretion to follow procedures, verify information, and solicit additional info as required.
Processes purchase requisitions, purchase orders, prepares payment lists, billing invoices.
Receives shipments; matches invoices to purchase orders.
Maintains files, journals, account ledgers; posts credits, expenditures, interest, etc.
Calculates payments, costs, discounts and adjustments.
Receives funds and prepares for deposit.
Maintains inventory; orders supplies.
Uses electronic equipment to perform job functions.
Perform related duties as required.
Knowledge, Skills, and Ability
Knowledge of office systems and procedures, proper telephone usage, filing.
Skills: interpersonal skills; oral and written communication; performing arithmetical computations.
Ability to perform full range of clerical tasks; operate computers tablets and other electronic equipment; operate office suite software; schedule and prioritize workflow; read and interpret complex instructions.
Minimum Qualifications – General Experience Two (2) years of general clerical work experience.
Minimum Qualifications – Substitutions Allowed College training may substitute for general experience: fifteen (15) semester hours equate to one-half (1/2) year of experience, up to a maximum of two (2) years.
Preferred Qualifications
Experience with Microsoft Office programs (Word, Excel, Outlook, PowerPoint).
Experience managing both physical and electronic patient records.
Experience providing customer service (written, verbal, electronic communications).
Experience working in a fast-paced office environment.
Experience reviewing employee time and attendance records.
Experience communicating, reading, comprehending, and applying regulations and procedural guidelines.
Experience filing, copying, faxing, scanning.
Special Requirements Persons supervising or observing inmates or custodial individuals must possess a high school diploma or GED certification by time of permanent appointment.
