Ocean Import Coordinator | Bensenville, Illinois | Hybrid work schedule
The Ocean Import Coordinator is responsible for managing and coordinating all aspects of ocean import shipments ensuring accurate documentation, timely cargo release, and exceptional customer service from arrival through final delivery. This role works closely with customers, carriers, customs brokers, and internal departments to ensure smooth cargo flow and compliance with U.S. Customs regulations.

Key Responsibilities
Coordinate end-to-end ocean import shipments from overseas origin to final delivery in the U.S.
Review and verify import documentation including commercial invoices, packing lists, and bills of lading.
Arrange customs clearance and coordinate with customs brokers and government agencies as needed.
Communicate daily with overseas agents, steamship lines, truckers, and customers regarding shipment status.
Prepare and issue arrival notices, delivery orders, and other required documentation.
Track and trace shipments to ensure timely delivery and proactively resolve any delays or exceptions.
Manage billing and ensure accurate data entry into the company’s TMS (Transportation Management System).
Maintain compliance with company SOPs, customer requirements, and U.S. import regulations.
Support continuous improvement initiatives to streamline the import process.
Qualifications
2+ years of experience in ocean import operations with a freight forwarder or NVOCC.
Strong knowledge of U.S. import regulations, Incoterms, and documentation requirements.
Proficiency with Microsoft Office and experience using a TMS or ERP system (CargoWise experience a plus).
Excellent organizational skills with strong attention to detail and accuracy.
Effective written and verbal communication skills.
Ability to manage multiple shipments and priorities in a fast-paced environment.
