CDC Office Assistant - Temporary Substitute
Base pay: $20.39 per hour ( 19 hours per week ). Schedule: Monday–Friday 9:00 a.m.–12:50 p.m. Responsibilities
Types data from copy or standing instructions, forms, memoranda, routine correspondence, and structured reports using established formats. Enter data onto established data entry screens for business and academic transactions (e.g., student and program information, deliveries, purchase orders). Process routine business/student transactions such as invoices and fee‑based enrollment and registration forms; receive and account for money paid for items. Answer a multi‑line telephone for a work team; serve as receptionist, answer inquiries, make appointments, provide basic information, and refer calls. Greet visitors, determine their needs, and route them or complete the request/transaction. Set up and maintain files using established formats, assemble, collate, and prepare materials for distribution, and file/post information to records. Order, receive, shelve, and distribute office supplies and materials. Deliver and pick up mail, forms, and materials; sort and distribute mail. Prepare documents/packets from established formats for faculty and routine communications for administrative purposes. Compile information onto established formats and maintain records to support recurring reports prepared for administration and external agencies. Contact other departments and outside agencies to locate information/services not provided by the department. Perform other duties as assigned to support the overall objective of the position. Qualifications
Basic knowledge of modern office practices, procedures, and equipment, including receptionist and telephone techniques and etiquette. Basic knowledge of alpha‑numeric filing and record‑keeping. Basic knowledge of data entry techniques. Working knowledge of common PC‑based office productivity software (word processing, spreadsheets, intranet). Arithmetic skills sufficient for columnar calculations, decimals, fractions. Proficiency in English, grammar, spelling, punctuation for routine correspondence and memoranda. Good human‑relation skills for greeting and working cooperatively with others. Abilities
Perform duties under general supervision. Learn and apply College rules, policies, procedures, and terminology. Use a personal computer for data entry, word processing, spreadsheets, intranet; operate standard office machines. Maintain record files and compile routine information for reports. Communicate with peers, staff, and the public in a positive manner reflecting on the department and College. Work varying shifts. Bilingual Preference
Preferred but not required. Physical Abilities
Must function indoors with primarily sedentary work. Use near vision for writing, reading printed materials, computer screens. Use hearing and speech for ordinary / telephonic conversation. Ambulatory ability to sit, move across campus, reach materials. Manual/finger dexterity for typing/keyboard, mouse, and other equipment. Education and Experience
High School diploma plus coursework in general office skills and 1 year of experience in clerical, data entry, and production keyboarding, or equivalent. Licenses and Certificates
May require a valid driver’s license. Working Conditions
Performed indoors with minimal safety considerations. Required Materials
