Support Coordinator – PMOB Oncology and Treatment Center
This role assists with all aspects of patient care, coordinating clinic schedules, patient appointments, and follow‑up. The Coordinator handles patient phone calls, verifies insurance benefits, prepares charts and charge tickets, and coordinates surgical and diagnostic testing. They work closely with physicians, the multidisciplinary team, and satellite clinics to ensure efficient patient flow and an excellent patient experience.
Essential Duties
Clerical
Has thorough understanding and expertise in the use of computer systems, e.g. Cerner, demonstrating accuracy and thoroughness in entering information into computer systems.
Processes new referrals in a timely manner, including obtaining required outside medical records, entering demographic information, providing records to the physician, verifying insurance, and obtaining authorization for visits and procedures.
Schedules patient evaluations and clinic appointments in a timely manner, accommodating patients’ needs and physician requests, and coordinating labs, diagnostic testing, and consultations as required.
Proactively manages clinic schedules by reviewing the master schedule, anticipating requirements, and adjusting for activity levels to create a well‑managed operational flow and positive patient experience.
Coordinates scheduling of diagnostic testing, sending letters of medical necessity and related documentation.
Assists in clinic with clerical and scheduling needs, including filing and collecting supporting documentation for billing.
Provides phone coverage as needed.
Contacts and distributes messages to medical personnel using electronic messaging, text, voice, and email; reads and responds to emails and voicemail within 24 hours per department protocol.
Utilizes courtesy, compassion, kindness and honesty while interacting with patients, caregivers, and clinic personnel; greets patients politely and professionally.
Acts as the single point of contact for patients and caregivers, taking accountability for their experience and providing guidance on scheduling, paperwork, and follow‑up appointments.
Works independently under limited supervision, takes initiative, adapts to constant change, and willingly accepts responsibility.
Completes a financial risk assessment and, when indicated, assists patients and families regarding insurance benefits, alternative funding sources, and referrals to financial counselors.
Provides estimates of patient liabilities to patients, physicians and insurance companies based on guidelines and/or systems, including copay, deductible, coinsurance, deposits, or prior balances.
Facilitates communication between patients, caregivers, and the care team, updating all involved personnel on changes and resolving issues.
Adheres to policies that protect patient confidentiality.
Demonstrates flexibility in covering other staff members for sick time, vacation, or leave.
Possesses ability to work independently and in a team setting, maintaining an open line of communication with management and staff.
Stays abreast of changes within the USC healthcare system.
Performs other duties as assigned.
Required Qualifications
High school diploma or equivalent.
Ability to communicate effectively in English, both verbally and in writing.
Proven record of dealing with the public in a customer‑service role.
Familiarity with word processing, Microsoft Outlook, GE Centricity Business, Cerner, PBAR, scheduling systems, intranet navigation and online query interpretation.
Excellent communication skills, including speaking, reading and writing English proficiently.
Comfortable with computers and medical terminology; in‑depth knowledge of all insurance types.
Preferred Qualifications
Bachelor’s Degree or equivalent work experience in customer service and/or medical office.
1 year experience in an acute care or ambulatory care setting preferred; entry‑level accepted.
Knowledge of insurance billing, admitting, or registration experience in a hospital or medical office.
In‑depth knowledge of major insurance plans and coverage, including government health programs.
Bilingual skills highly desirable, preferably in Mandarin or Spanish.
Required Licenses / Certifications
Fire Life Safety Training (LA City). If no card upon hire, one must be obtained within 30 days of hire and renewed before expiration. (Required only within LA City.)
Hourly rate range:
