Position Summary

The Treatment Coordinator promotes practice growth through effectively implementing administrative procedures and support, and displays a positive, professional presentation as a member of the Front Office team. This person is responsible for preparing, presenting, and scheduling patients for treatment plans following the dentist’s and/or associate dentist’s notes and direction, plus setting up appointment financial arrangements before treatment. Other duties and responsibilities are assigned by the supervisor. Essential Functions

Occasionally open office and prepare for the business day Maintain regular, consistent, and punctual attendance following assigned schedule and time off policies Handle multiple deadlines and task assignments efficiently Work independently and cooperatively in team settings Retrieve messages and e‑mails and act upon them promptly Welcome patients and visitors with a cordial greeting and a smile Represent the practice in a professional, pleasant, and cooperative manner Ensure the office has prior x‑rays from the previous dentist when appropriate Schedule appointments in consideration of production and capacity Confirm appointments and review all cases two days before the appointed time for assigned doctor’s patients Check patient records and determine what is needed before patient arrival, noting and preparing for these needs Set up appointments with other providers when indicated and coordinate with various offices Accept and record payments made at the time of service, by mail and telephone Be knowledgeable in the operation and maintenance of equipment and software in the front office Make courtesy calls for treatment follow‑up as per office protocol Run recall reports monthly and ensure appropriate follow‑up action is completed for each patient from this report Create, prepare, and work with the patients and doctors to create financial arrangement options that meet both patients’ and practice’s needs Occasionally travel by car or plane for continuing education or seminars Perform other duties and tasks as assigned periodically Success Factors

Maintain the highest level of confidentiality to HIPAA standards Maintain accurate documentation to record the status of communications and actions taken with each patient case Professional personal presentation Comfortable seeing and able to maintain a professional demeanor while working around blood and unpleasant smells Detail-oriented, maintaining good financial practices, account balances, and financial reporting within patient accounts Flexible and willing to help out in other areas of the office as duties change Good interpersonal skills to maintain a positive rapport with patients, dentists, other staff members, and the community Effective verbal skills to communicate clearly and professionally with patients and staff Active listening: giving full attention, asking questions, and not interrupting inappropriately Good reading comprehension of written documents Ability to arrange tasks according to specific rules (patterns) Working Conditions / Physical Requirements

Sitting 80% Standing/walking 20% Medical, office, and lab setting Moderate noise levels from medical and office equipment Exceptional hand dexterity and typing skills for standard software programs Good mathematical aptitude to prepare and interpret financial reports, collect and track payments and account balances, and maintain financial integrity for the practice Near vision required for detailed computer data entry and written patient communications Education & Experience

High School Diploma or G.E.D. Certificate Preferred: two or more years of medical or dental office administrative experience Salary: $17.00‑$19.00 per hour
