$75,000 - $85,000 per year Position Summary
The Contract Administrator is responsible for managing the full lifecycle of contracts—including drafting, reviewing, redlining, negotiating, executing, storing, and monitoring agreements with clients, customers, vendors, venues, subcontractors, and other partners. This role ensures legal compliance, reduces risk, accelerates contract cycle times, and protects revenue by tracking all contractual obligations, renewals, and approvals across all business operations. Duties and Responsibilities
Accelerate contract turnaround by leveraging standardized templates, pre-approved clause libraries, and automated approval workflows. Use AI and other automation technologies to eliminate manual steps, reduce administrative burden, and ensure faster contract execution without compromising quality or compliance. Implement and maintain a centralized, searchable contract repository with full version control and audit trails. Ensure all agreements, amendments, and related documentation are properly categorized, easily retrievable, and compliant with internal policies and regulatory requirements. Use proactive monitoring and AI-assisted analysis to identify, flag, and elevate potential contractual risks early. Ensure key terms and obligations are clearly defined, assigned, and tracked through completion to minimize financial, legal, and operational exposure. Provide leadership with actionable insights into the full contract lifecycle, including metrics such as average turnaround time, renewal rates, negotiation bottlenecks, and time to signature. Use this data to inform performance improvements, resource allocation, and strategic decision‑making. Essential Duties And Responsibilities
Contract Drafting & Negotiation:
Draft, review, redline, and negotiate a wide range of agreements, including MSAs, venue and event agreements (hotels, hospitals, stadiums, municipal garages), subcontractor and staffing agreements, SOWs, amendments, change orders, and NDAs. Apply standardized language on key clauses (indemnity, limitation of liability, insurance, privacy, SLAs, termination).
Contract Lifecycle Management (CLM):
Coordinate approvals per the authority matrix; manage signatures via e‑signature tools like DocuSign. Maintain centralized CLM/repository platforms (e.g., Ironclad, DocuSign CLM, Agiloft) with version control, metadata tagging, and reporting dashboards. Track and monitor milestones, renewal, and termination dates; send reminders and coordinate timely renewals or offboarding. Support RFPs/RFIs by providing standardized legal and commercial responses.
Reporting & Continuous Improvement:
Build and maintain dashboards to track key metrics: contract volume, cycle times, approval bottlenecks, renewal status, risk flags. Recommend and implement process improvements or system enhancements to drive efficiency and scalability. Stay current on regulatory changes, legal trends, and industry best practices impacting contracts.
Competency/Qualifications
Required Qualifications:
Bachelor’s degree in Business, Legal Studies, Finance, or related field (or equivalent experience). 7–10+ years of contract administration, legal operations, or procurement experience (preferably within hospitality, facilities, or outsourced services). Demonstrated experience drafting, redlining, and negotiating complex commercial terms including indemnity, limitation of liability, insurance, SLAs, and termination. Proficiency using CLM platforms and e‑signature tools (Ironclad, DocuSign CLM, Agiloft, DocuSign). Advanced skills in Microsoft Excel/Google Sheets to create trackers and dashboards. Strong organizational skills, deadline management, and clear, professional written and verbal communication.
Preferred Qualifications:
Exposure to privacy and security addenda (DPA, BAA, SOC 2, HIPAA, CCPA/GDPR) and incident/claims language. Paralegal certificate, JD, or professional contract certifications (CPCM, CCCM) preferred. Prior experience with AI and/or contract management software.
Physical & Work Conditions
Hybrid office schedule based in Nashville, with occasional on‑site visits to hotels, hospitals, or event venues. Prolonged periods of computer work and virtual meetings. Occasional after‑hours support required during peak contract cycles or major events. Cell Phone Use
