Summary:

The Office Manager will oversee day‑to‑day administrative operations of the office, ensuring efficiency, organization, and a professional work environment. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while supporting staff, coordinating office resources, clearly communicating with leadership, and maintaining smooth workflows.

Position Responsibilities

Oversee daily office operations, including monitoring agency vehicle usage, managing conference room reservations, preparing rooms for meetings and special events, and coordinating scheduling for all intake rooms and classroom use.

Manage incoming and outgoing mail, including collecting and delivering mail/payments from the home office to the CCAOSA headquarters and distributing to designated staff.

Maintain organized records of office policies, including fire safety, evacuation, and emergency disaster plans.

Label and track inventory of supplies and equipment purchased through programs for general office use.

Oversee the front lobby and maintain its upkeep.

Manage the food pantry & clothes closet, receiving and sorting all donations, tracking its value and quantity given to clients, ensuring client demographics are captured, and entering services rendered into the agency database; complete all required documentation for donations provided.

Manage the back storage/donation area and ensure its upkeep.

Provide supportive supervision to staff on a quarterly basis.

Complete annual employee evaluations for all staff supervised.

Complete biweekly timesheet approvals for supervised staff.

Must complete all required professional development assigned in a timely manner.

Adhere to the Code of Conduct and Faith and Morals.

Must be sensitive to the service population’s cultural and socioeconomic characteristics.

Take a solution‑oriented approach in interactions, fostering collaboration, and commitment to the Mission and Vision of the organization.

Adhere to safety training and protocols daily, taking precautionary measures to ensure safety and well‑being of self and others.

Protect the confidentiality of any information or material obtained in the service with the organization, including client names and information, donors, investigations, and financial information.

Perform other duties as assigned by Associate Senior Director.

Requirements Minimum Qualifications:

Education: Associate’s degree preferred but not required; or equivalent of 1-year experience in a social service environment demonstrating sensitivity and appreciation for diverse cultural populations.

License and Credentials:

Reliable transportation

Valid driver’s license

Valid vehicle insurance

Clean driving record

Minimum Knowledge and Skills

Solid grasp of data entry software such as Excel and Adobe.

Knowledge of Program Manuals and Operational Guidelines.

Skilled in using personal computer, various software, email and internet.

Detail oriented, organized, self‑motivated, capable of working independently and with a team.

Good written and verbal communication skills.

Strong critical thinking and problem‑solving skills.

Bilingual language skills are a plus but not required.
