Overview
FWI is building a team to support Puerto Rico Department of Housing (PRDOH) Communication Services program for the Community Development Block Grant for Disaster Recovery (CDBG-DR) and Community Development Block Grant for Mitigation (CDBG-MIT). The Event & Promotions Coordinator / Runner will provide hands‑on logistics support for events and community activations, transporting and setting up materials, coordinating attendee guidance, and capturing event documentation across Puerto Rico.

Position is contingent upon contract award
Work Schedule and Location Hybrid:
This full‑time hybrid position will work Monday through Friday, 8am to 5pm, with some on‑site work in San Juan, Puerto Rico.
Responsibilities
Support planning and on‑site execution of the PRDOH events, outreach tours, and community activations
Transport, set up, and take down materials (tents, signage, banners, A/V, giveaway kits) across Puerto Rico
Coordinate check‑in/registration, crowd flow, and attendee guidance; provide frontline customer service
Ensure brand consistency (logos, colors, naming) and basic accessibility placement (clear paths, seating, signage)
Assist with municipal/venue coordination (parking, load‑in/out, security, permits) as directed
Capture basic event documentation (photos/b‑roll on mobile), gather testimonials, and collect consent forms
Manage field inventory (kits, QR codes, tablets, cables) and keep simple tracking logs
Liaise with vendors (caterers, rentals, sound, staging) for deliveries and pickups
Support live and digital activations (QR lead capture, handouts, wayfinding) and consolidate leads/feedback
Record operational data (attendance counts, issues, incident notes) for post‑event reports
Drive safely with agency materials; maintain a clean, organized vehicle and gear area
Escalate risks/issues promptly to the Event & Promotions Manager
Qualifications Required:
High school diploma (GED or equivalent)
At least 1 year in event logistics support, promotions, or customer service
Valid PR driver's license; acceptable driving record; willingness to travel across the Island
Ability to lift 25–50 lb. and stand for extended periods
Punctuality, organization, ability to follow instructions, customer service, teamwork
Excellent verbal and writing skills in both Spanish and English
