Overview FWI is building a team to support Puerto Rico Department of Housing (PRDOH) Communication Services program for the Community Development Block Grant for Disaster Recovery (CDBG-DR) and Community Development Block Grant for Mitigation (CDBG-MIT). The Event Manager will own the annual events and promotions calendar, lead end‑to‑end delivery of press, community, and educational events, and coordinate with municipalities, subrecipients, and agencies across Puerto Rico.

Work Schedule and Location Hybrid: This full‑time hybrid position will work Monday through Friday, 8am to 5pm, with some onsite work in San Juan, Puerto Rico.
Responsibilities
Own annual events and promotions calendar aligned to PRDOH program goals (CDBG-DR/MIT)
Translate program priorities into event strategies, briefings, timelines, staffing plans, and budgets
Lead end‑to‑end delivery of events including press conferences, community meetings, educational sessions, and partnerships
Oversee permitting/approvals, venue negotiations, vendor sourcing, and contract coordination with internal teams
Define KPIs (reach, attendance, engagement, lead capture) and establish measurement plans with data quality controls
Produce event briefs, run‑of‑show documents, floor plans, staffing matrices, and contingency plans for weather, technology, and safety
Transport, set up, and take down event materials including tents, signage, banners, A/V equipment, and giveaway kits across Puerto Rico
Direct on‑site operations including load‑in/out, rehearsals, A/V setup, staging, and delegate tasks to coordinators, runners, and vendors
Coordinate check‑in/registration, crowd flow, and attendee guidance while providing frontline customer service
Ensure brand consistency (logos, colors, naming) and accessibility standards (clear paths, seating, signage) at all events
Assist with municipal/venue coordination including parking, load‑in/out scheduling, security, and permit compliance
Manage field inventory (kits, QR codes, tablets, equipment) and maintain tracking logs
Liaise with vendors (caterers, rentals, sound, staging) for deliveries, pickups, and on‑site coordination
Capture event documentation including photos/b‑roll, testimonials, and consent forms
Support live and digital activations including QR lead capture, handout distribution, wayfinding, and consolidate feedback
Record operational data including attendance counts, issues, and incident notes for reporting
Manage budget tracking, purchase orders, invoices, and post‑event reconciliations; flag variances with corrective actions
Coordinate with municipalities, subrecipients, and agencies to align logistics, protocols, and roles
Lead post‑mortems and produce reports with insights, performance metrics, photo/b‑roll references, and optimization recommendations
Maintain compliance with PRDOH policies and applicable federal guidelines; elevate risks and issues promptly
Drive safely with agency materials and maintain organized vehicle and gear storage areas
Qualifications
High school diploma (GED or equivalent) minimum required; Bachelor's in Communications, Marketing, Business, or related field preferred
3+ years combined experience in event planning, execution, and logistics support with at least 1+ year supervising staff and managing budgets
Valid Puerto Rico driver's license with acceptable driving record; ability to travel island‑wide including nights and weekends
Ability to lift 25–50 lbs. and stand for extended periods during event execution
Experience with vendor management, municipal permitting, contract coordination, and budget tracking
Knowledge of event logistics including load‑in/out, staging, A/V setup, and on‑site operations management
Leadership, negotiation, problem‑solving abilities, and experience presenting to executives
Hands‑on logistics support capabilities including material transport, setup/teardown, and equipment management
Frontline customer service skills with ability to manage check‑in/registration, crowd flow, and attendee guidance
KPI development, measurement planning, and post‑event reporting with performance metrics and optimization recommendations
Understanding of brand standards, accessibility requirements, and federal compliance guidelines
Punctuality, organization, teamwork, and ability to work under pressure in fast‑packed environments
Excellent verbal and writing skills in both Spanish and English (bilingual required)
