DHS Senior Executive Assistant/Administrative Assistant II (Must have DHS experience)

About the Role The Individual will provide administrative and program support services to the Department of Homeland Security (DHS) Federal agency divisions and offices. This includes high‑level executive support, calendar management, meeting coordination, travel logistics, document preparation, and policy assistance.
Responsibilities
Provide Executive/Assistant I support to high level executives, directors, or managers.
Manage high‑level calendar appointments, schedule meetings, coordinate interviews and conferences, evaluate requests for information, and respond within established deadlines for high‑level officials.
Organize and prioritize action items and serve as liaison for internal and external offices.
Manage business relationships with other program offices, divisions, and stakeholders.
Coordinate logistics, materials, and generate minutes for meetings.
Draft, edit, and format correspondence, memoranda, briefing materials, reports, spreadsheets, and other documentation.
Maintain filing systems and ensure adherence to agency guidance for record retention, protection, retrieval, transfer, and disposal.
Assist in developing office policies and procedures, and in planning and implementing office systems, layouts, and equipment distribution; take lead on special projects, research studies, budget analysis, and other specialized functions.
Coordinate travel logistics, including transportation and overnight accommodations for domestic and international locations, and resolve issues arising from last‑minute changes.
Requirements
Minimum of a Bachelor’s degree.
3–8 years of experience performing high‑level administrative duties; federal government experience desired.
Knowledge and experience with systems and procedures such as records management, SharePoint or similar, HRIS, correspondence systems, travel systems, and payroll systems.
Ability to communicate in English, both orally and in writing.
Proficiency in Microsoft Office Suite and other relevant IT resources.
