Overview

Office Coordinator of Clinical Placements – Monmouth University, Physician Assistant department. This is an on-site, on-campus position in West Long Branch, NJ (Monmouth Graduate Center). Responsibilities

Create and maintain the clinical student schedule. Maintain compliance records and affiliation agreements for clinical sites and preceptors, and data required for accreditation. Maintain compliance records for students and requirements needed for clinical placements. Provide a high level of customer service to students, faculty, preceptors, site coordinators, and visitors in person and by phone. Address general questions regarding department procedures, clinical sites, rotations, the EXXAT Data Management system, and other requests. Act as main point of contact for the EXXAT Data Management system: create, maintain, and update data (user profiles, clinical sites, preceptors and students, clinical placements and evaluations). Collect and maintain immunizations, background checks, liability insurance, and other documentation for clinical placements. Collect documentation for preceptors and clinical sites (board certification, credentialing, demographics, student capacity); coordinate and secure affiliation agreements; maintain and track communications with clinical sites. Assist with accreditation documentation initially and ongoing. Coordinate the clinical schedule in EXXAT, including placement of students into clerkships and resolving issues such as loss of clinical sites. Create and run reports in EXXAT (clinical clerkship and summative evaluations) for self‑assessment and accreditation. Develop and maintain processes in EXXAT related to student progress, clinical rotations, and evaluations of students and preceptors. Maintain the program handbook and policies, and the EXXAT webpage with handbooks, meeting minutes, and other information. Other duties and special projects as assigned. Minimum Qualifications

Four (4) years of related experience. Intermediate knowledge of MS Word/Excel 2016. Ability to interact with students, university personnel, and outside constituencies in a positive, customer-service oriented style. Ability to handle multiple tasks simultaneously and effectively. Ability to follow directions, work independently, and function as a team player. Ability to learn new software quickly and use various computer programs to complete tasks. Excellent interpersonal, organizational, and communication skills. Ability to handle confidential and sensitive information appropriately. Preferred Qualifications

Intermediate knowledge of MS Teams. Experience in an educational setting. Familiarity with medical terminology. Familiarity with clinical scheduling. Application Information
