The Role We’re seeking a highly organized and business‑savvy Executive Assistant to work directly with the CEO in Round Rock. You’ll be the primary administrative and operational support, working alongside the CEO daily while coordinating seamlessly with distributed US and international teams.
Your core responsibility is to protect the CEO’s time.
This means taking ownership of anything that doesn’t require the CEO’s direct attention – from complex calendar management and investor follow‑ups to strategic projects and select personal tasks. If it’s not the highest and best use of the CEO’s time, it’s yours to handle.
This role goes beyond traditional administrative support. You’ll manage the CEO’s day‑to‑day operations while also building critical investor and partner relationships and enhancing the CEO’s brand to drive organizational growth. It requires someone who can balance operational excellence with strategic thinking, professional polish, and the ability to work independently.
Core Functions 1. Strategic Calendar & Inbox Management (40%)
Protect CEO focus time for strategic work – #1 priority
Develop an email and calendar handling framework in collaboration with the CEO
Organize the CEO’s day ahead through daily collaborative calendar planning
Leave inbox at zero before end of day by handling all urgent and important communications
Manage complex scheduling across multiple US time zones with sound judgment
Triage communications, draft responses in CEO voice, ensure timely follow‑up
Prepare meetings with defined agendas, capture minutes, and track follow‑up action items
2. Travel & Event Coordination (10%)
Plan monthly mastermind and conference travel at least 4 weeks in advance
Coordinate multi‑person travel when the CEO travels with team members
Arrange comprehensive logistics: flights, accommodations, ground transportation, meeting schedules
Create detailed itineraries with full context and contact information
Anticipate needs, plan for contingencies, handle disruptions seamlessly
Follow up with key connections from events to build and nurture long‑term relationships
Manage travel expenses and reimbursements
3. Strategic Project Ownership (30%)
Initiate and own projects stemming from leadership and strategic meetings
Drive complex initiatives to completion – e.g., website makeovers, new team member onboarding programs, partner program launches
Proactively identify projects to take work off the CEO’s plate and collaborate with key stakeholders under CEO guidance
Independent thinker and action‑taker – build project plans, track milestones, coordinate cross‑functional teams
Hold teams accountable to deadlines and deliverables
4. Investor & Partner Relationship Development (10%)
Proactively reach out to prospective investors the CEO meets at conferences and networking events
Identify strategic networking opportunities for the CEO to build powerful relationships
Set and achieve monthly relationship‑building targets
Serve as the professional point of contact for key investors and partners
Manage investor and partner communications, touchpoints, and follow‑ups
Ensure an exceptional experience in all interactions
Handle sensitive situations with discretion and professionalism
Strengthen relationships that drive capital and strategic partnerships
5. CEO Brand & Thought Leadership (10%)
Strategically manage and enhance the CEO’s professional presence and thought leadership
Position the CEO as a leader in the land investment and wholesale space
Coordinate speaking engagements, conference appearances, podcast requests, and media opportunities
Actively manage the CEO’s social media presence – draft posts, engage audiences, build following
Handle PR inquiries and media coordination
Maintain the CEO’s professional materials (bio, headshots, credentials)
Identify and pursue high‑value thought leadership opportunities
What We’re Looking For Must‑Has:
Minimum 2 years as an EA to a CEO or C‑level executive
Rockstar at calendar, inbox, and travel management – needs zero hand‑holding
Expert in Google Workspace and Zoom
Ability to create appealing PowerPoint presentations aligned with company brand consistency
Familiarity with Monday.com or similar project management tools
Working understanding of AI tools like ChatGPT, Claude, or Perplexity
Strong project management and ability to drive initiatives to completion
Strong judgment and critical thinking – knows when to decide vs. escalates
Preferred:
Experience managing investor/partner relationships
