As we scale, we’re looking for a proactive and organized Executive Assistant to support our CEO and help streamline our operations.

Role Description

The Executive Assistant (EA) will serve as a direct extension of the CEO—managing communication, priorities, and operations to ensure maximum efficiency and focus on high-value activities. The EA will anticipate needs, manage information flow, and help operationalize repeatable systems that improve efficiency across the company.

Key Responsibilities

  • Manage the CEO’s inbox and calendar with efficiency and foresight.
  • Prioritize and handle communication on behalf of the CEO.
  • Prepare agendas, take notes, and ensure follow-up on key meetings.
  • Track action items, deadlines, and progress across departments.
  • Support BuilderTrend tasks such as scheduling, documentation, file management, and communication logs.
  • Coordinate with vendors, partners, and clients as the CEO’s representative.
  • Identify recurring tasks that can be systemized or automated.
  • Assist with travel planning, personal scheduling, and expense tracking.
