Position Overview Stone Group Architects is seeking a highly organized and detail-oriented AEC Proposal Coordinator to join our team. The AEC Proposal Coordinator plays a key role in supporting business development and marketing efforts by leading the creation, coordination, and production of compelling proposals, qualification packages, and related marketing materials. This position works closely with firm leadership, project managers, technical staff, and the marketing team to craft customized, strategic responses to RFQs, RFPs, and other solicitations across public and private sectors.

The ideal candidate will have 2–5 years of experience in proposal coordination or marketing within the AEC industry, combine strong writing and editing skills with the ability to manage deadlines, gather input from diverse stakeholders, and ensure high-quality, visually cohesive submissions that reflect the firm’s brand and voice.

Key Responsibilities

Lead the coordination and production of proposals, qualifications, and presentation materials.

Analyze RFP/RFQ requirements and develop compliance matrices and production schedules.

Collaborate with project managers, principals, and technical staff to gather project information and develop win themes.

Write, edit, and tailor boilerplate content including firm profiles, resumes, project descriptions, and cover letters.

Maintain and update a library of standard marketing collateral, resumes, project sheets, and other content.

Work with graphic designers or use design software (e.g., InDesign) to produce visually compelling materials.

Track proposal progress and support debriefs and lessons learned.

Support other marketing and business development activities, such as award submissions, website updates, and social media content, as needed.

Required Qualifications

Bachelor’s degree in marketing, communications, English, or related field.

2–5 years of experience in proposal coordination or marketing within the AEC industry.

Excellent writing, editing, and proofreading skills; strong command of grammar, punctuation, and writing etiquette.

Strong organizational skills with the ability to manage multiple deadlines.

Proficiency in Adobe InDesign, Adobe Creative Cloud, and Microsoft Office Suite (Word, PowerPoint, Excel).

Familiarity with AEC terminology, proposal processes, and procurement methods (public and private).

Preferred Qualifications

Background or degree in architecture highly preferred.

Experience with CRM (customer relationship management) systems.

Knowledge of SF330 submissions and other federal procurement formats.

Graphic design skills or an eye for layout and visual consistency.

Ability to work independently and collaboratively in a fast-paced environment.
