This role supports our growing construction operations by handling administrative tasks, maintaining documentation, coordinating with subcontractors, and providing support through all project phases from pre-construction to closeout. The position supports commercial construction projects across PA, NJ, NY, and MD. Key Responsibilities

Support Project Managers by coordinating administrative tasks across multiple active construction projects Prepare and maintain project documentation including contracts, RFIs, change orders, and submittals Process and track AIA billings to clients and ensure accuracy Monitor and update project schedules, budgets, and milestones Coordinate communication with subcontractors, vendors, and clients Assist with permitting and inspection scheduling while ensuring compliance with local codes Maintain organized digital and physical project files Provide general administrative support and occasional field support as needed Manage project closeout documentation and tracking Receive, log, and manage subcontractor invoices and lien waivers Enter invoices into QuickBooks for both subcontractors and client billing Answer incoming calls and manage front-office communication Order and maintain office supplies as needed Qualifications

2+ years of experience in construction administration or project coordination preferred Strong understanding of construction documentation (RFIs, change orders, AIA billings) Proficient in Microsoft Office Suite; familiarity with QuickBooks required Excellent organizational skills and attention to detail Strong written and verbal communication abilities Self-starter with the ability to manage multiple tasks independently Experience working in a commercial construction environment is a plus Benefits
