Job Summary
The Procurement Specialist supports the company’s procurement operations by coordinating the sourcing, ordering, and delivery of materials, equipment, and services needed for field projects, service work, and office operations. This role focuses on executing purchase orders, obtaining competitive pricing, tracking vendor performance, and maintaining accurate procurement records. Working closely with project managers, field teams, and suppliers, the Procurement Specialist ensures materials and services are procured efficiently, cost‑effectively, and on schedule.
Essential Duties and Responsibilities
Coordinate procurement of materials, tools, equipment, and supplies to support field operations, projects, and office needs.
Obtain and evaluate vendor quotes to support competitive pricing and cost‑effective purchasing decisions.
Create, process, and track purchase orders and change orders in the company’s procurement system.
Monitor order status, confirm delivery schedules, and follow up with vendors to resolve delays or discrepancies.
Maintain and update approved vendor lists, pricing data, and supplier contact information.
Support warranty and return processes, including documentation, credit requests, and coordination of core returns.
Research and source hard‑to‑find parts or alternative materials from multiple suppliers.
Collaborate with shipping and receiving to verify deliveries, track shipments, and support inventory processes.
Accurately enter procurement data, invoices, and records into company systems while communicating effectively with internal teams.
Perform additional procurement‑related tasks and other duties as assigned by the supervisor.
Position Requirements
Working knowledge of procurement processes, vendor coordination, and purchase order systems.
Strong organizational skills and attention to detail with the ability to manage multiple tasks and deadlines.
Effective communication and relationship‑building skills for vendor and internal team coordination.
Proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with ERP or procurement software preferred.
Team‑oriented mindset and ability to work collaboratively in a fast‑paced environment.
Education And Experience
High school diploma or equivalent required; associate degree or coursework in business, supply chain, or a related field preferred.
1–3 years of procurement, purchasing, or supply chain experience; construction or mechanical services industry experience preferred.
