Highbeam
The executive assistant & office manager keeps the engine running. They support our leadership team by managing the small details that make a big impact—calendars, travel, admin, and operational logistics—while also keeping our New York office welcoming, well-stocked, and efficient.
This role will be in-person in New York.
Responsibilities
Be the right hand to leadership Own complex calendaring, coordinate meetings across time zones, and proactively solve scheduling conflicts. Handle personal administrative tasks to free up leadership time (travel bookings, insurance forms, etc.). Run the office like a pro Maintain a clean, stocked, and functional office environment—including snacks, supplies, and vendor coordination. Manage accounts payable, track office expenses, and assist with people ops tasks like onboarding, access requests and perks. Stay on top of multiple moving threads—project deadlines, office to-dos, and executive priorities. Spot issues before they happen and jump in without being asked. Skills and qualities
