Position Overview Seeking a skilled and experienced Executive Assistant to provide comprehensive administrative support to our senior leadership team, including Senior Vice Presidents, Presidents, Vice Presidents with Chief designations, and Vice Presidents reporting to Executive Vice Presidents who are direct reports to the CEO. This is a standalone position requiring exceptional discretion, professionalism, and the ability to manage complex, evolving priorities in a fast-paced executive environment.
Key Responsibilities
Executive Support : Provide high-level administrative support to multiple senior executives, exercising the utmost confidentiality, tact, and diplomacy in all interactions
Document Management : Compile, organize, and format information into comprehensive packages (Word, Excel, PowerPoint documents into PDFs) - representing approximately 90% of daily responsibilities
Presentation Development : Prepare and edit executive-level presentations for Senior Management Committee (SMC) and Board-level meetings using advanced PowerPoint skills (Nice to have skillset, not required)
Calendar & Schedule Management : Proactively anticipate and manage the Chief Nuclear Officer's evolving priorities, visualizing calendar needs and scheduling accordingly
Communication Management : Screen and direct incoming calls, visitors, mail, and emails; prepare responses to routine correspondence and inquiries
Travel & Expense Coordination : Arrange complex business travel itineraries and coordinate expense reporting
Meeting Coordination : Organize meeting arrangements, prepare agendas, take minutes, and manage follow-up actions
Record Keeping : Maintain confidential files, records, calendars, and executive diaries with meticulous attention to detail
Stakeholder Relations : Interface professionally with internal and external executives while maintaining strict confidentiality protocols
Required Qualifications
Education & Experience :
Bachelor's degree plus 6 years of relevant administrative experience,
High School diploma plus 10 years of broad administrative experience in lieu of degree
Technical Skills :
Proficiency in Microsoft Office Suite : Word, Excel, PowerPoint, Outlook, Teams, and SharePoint
Document compilation expertise : Ability to create professional document packages and convert multiple file formats to PDF
Presentation editing skills : Experience preparing executive-level presentations (preferred)
