Job Summary Office of Academic Culture and Community (OACC) in the Spencer Fox Eccles School of Medicine at the University of Utah seeks a Program Specialist I. This role oversees a variety of programs and activities that support the mission: creating a welcoming and respectful environment in academic medicine, actively recruiting diverse talent, and fostering workforce development that reflects our communities.

The Program Specialist will coordinate and track current and future programming for medical and pre‑medical students, lead the creation, development, and implementation of community outreach programs, and improve and maintain relationships between the office and the community.

Responsibilities

Oversee administrative matters relating to day‑to‑day operations of an administrative program.

Develop and implement program goals and objectives.

Co‑lead and support medical student and pre‑medical programs.

Lead the execution, analysis, planning, and evaluation of community event efforts; build strategic relationships within the community.

Help plan and organize events, programs, and community observances throughout the year.

Support community and tribal activities, including outreach visits and partner engagement.

Monitor program quality and effectiveness, prepare reports, and share findings with team members and the academic community.

Coordinate all logistical and scheduling aspects of programs, including room reservations, catering, supplies, and technology setup.

Participate in program meetings, transcribe minutes, and handle phone and email correspondence for the OACC email account.

Support various administrative tasks essential to efficient operations, such as purchasing, inventory, payment requests, travel reimbursements, campus orders, and purchase orders.

Track expenses and ensure all supporting financial documents are accurately completed, including financial reports, and enter information into the FMS financial database.

Coordinate and support multiple simultaneous programs with strict deadlines; make informed, on‑the‑spot decisions to ensure effective execution.

Provide support with development of marketing efforts and outreach communication for OACC newsletter and social media; create marketing materials and promote in a timely manner to community and University partners.

Coordinate arrangements for visiting faculty or invited speakers, including travel, hotel, meeting space, honorariums, and schedule.

In coordination with program leadership, prepare, collect, distribute, and summarize surveys and other data to maintain accurate program records.

Provide administrative support to other coordinators, the program manager, director, and deans.

Manage and ensure supplies for the community lounge are consistently stocked and up to date.

Minimum Qualifications Equivalent education and experience: 1 year of higher education may be substituted for 1 year of directly related work experience. A bachelor's (or equivalency) plus 2 years of directly related work experience or a master’s (or equivalency) degree is required.

Preferences

Highly effective communication and interpersonal relationship skills.

Demonstrated experience in event planning, logistics management, and execution.

Experience using software/platforms including Zoom, Canvas, PeopleSoft, Qualtrics, Adobe, Microsoft Suites, Google Workspace, Facebook, Instagram, and Drupal.

Ability to work independently and strong communication, coordination, and detail‑oriented organizational skills.
