Job Summary The Office of Academic Culture and Community in the Spencer Fox Eccles School of Medicine at the University of Utah seeks a Program Specialist to oversee a variety of programs and activities. The specialist will coordinate, organize, and track current and future programming for medical and pre‑medical students; lead development and implementation of community outreach programs; and foster relationships between the office and community.

Responsibilities

Design and implement programs aligned with the university’s mission; set goals and benchmarks.

Ensure programs meet community needs and reflect expectations; collect feedback for continuous improvement.

Coordinate fundraising, budgeting, and community outreach activities; manage special events for public visibility.

Oversee day-to-day administrative matters of the program.

Develop and execute program goals and objectives.

Co‑lead/support medical student and pre‑medical programs.

Lead planning, analysis, execution, and evaluation of community events; build strategic relationships.

Plan and organize events and observances throughout the year.

Support community and tribal activities, including outreach visits and partner engagements.

Monitor program quality and effectiveness; prepare reports and share findings.

Coordinate logistics and scheduling: appointments, room reservations, catering, supplies, technology setup.

Participate in program meetings, transcribe minutes, respond to calls and emails, and distribute minutes.

Support administrative tasks: purchasing, inventory, payment requests, travel reimbursements, campus orders, purchase orders, expense tracking, financial reporting, data entry into FMS database.

Manage multiple concurrent programs, maintaining deadlines and making on‑the‑spot decisions.

Support marketing efforts, content creation, newsletter, social media, and promotion.

Coordinate arrangements for visiting faculty or speakers: travel, hotel, meeting space, honoraria, schedule.

Prepare, collect, distribute, and summarize surveys and data for program records.

Provide administrative support to other coordinators, program managers, directors, and deans.

Manage and supply community lounge inventory.

Qualifications Required:

Bachelor’s degree (or equivalency) + 2 years related work experience or Master’s degree.

Entry‑level position in the General Professional track.

Basic planning, organizing, and communication skills.

Proficiency with budgeting, fundraising and event planning.

Preferred:

Highly effective communication and interpersonal skills.

Experience in event planning, logistics management, and execution.

Experience with Zoom, Canvas, PeopleSoft, Qualtrics, Adobe, Microsoft Suites, Google Workspace, social media platforms, Drupal.

Independent worker with strong coordination and detail‑oriented organizational skills.
