Job Summary
Under the general direction of the Division Manager, the Administrative Officer 3 provides high‑level administrative and operational support for Hematology faculty. The role manages both inpatient and clinic schedules for Hematology Teams A–D, coordinating with faculty, clinic schedulers, and administrative staff to ensure accuracy and efficiency. Key responsibilities include executive support—calendar management, travel planning, event coordination—and communication with internal and external stakeholders. Additional duties involve supporting recruitment and onboarding, managing QGenda scheduling technology, overseeing HR and lab administrative functions, and assisting with grant submissions and faculty initiatives. The coordinator plays a pivotal role in streamlining workflows, ensuring smooth departmental operations, and serving as a liaison across clinical, academic, and administrative functions.
Department Description The Division of Hematology/Oncology is the largest Division in the Department of Medicine. It has 90 full‑time faculty, 11 part‑time/volunteer faculty, 29 ACGME and non‑ACGME fellows, 22 post‑doctoral fellows, 32 non‑faculty appointments, and 48 administrative and research staff. Most clinical, research, and educational activities are split between the Parnassus and Mission Bay campuses, with additional appointments at ZSFG and VAMC.
Salary & Benefits Salary range: $86,500 – $129,700 (Annual Rate). Final salary will be based on experience, internal equity, and applicable labor‑union agreements. For a full overview of UCSF benefits, see

Required Qualifications
Bachelor's degree in a related area or equivalent experience/training
Minimum 3+ years of directly relevant experience
Excellent interpersonal skills: verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling
Knowledge of diverse administrative operational activities such as purchasing, reimbursements, scheduling, and event management
Solid understanding of common University‑specific computer applications
Ability to use discretion and maintain confidentiality
Strong skills in short‑term planning, analysis, problem‑solving, and customer service
High level of attention to detail
Thorough knowledge of University rules, regulations, processes, protocols, and procedures for budget, accounting, fund management, and/or personnel management
Familiarity with grant processes, including data gathering, analysis, and submittals
