About the Department The Data Science Institute (DSI) executes the University of Chicago’s bold, innovative vision of Data Science as a new discipline. The DSI seeds research on the interdisciplinary frontiers of this emerging field, forms partnerships with industry, government, and social impact organizations, and supports holistic data science and AI education. The staff in the Data Science Institute support the University’s students and scholars, their shared ideals, and the core values that make the University a singular intellectual destination.

Job Summary The Program Administrator for Community-Centered Data Science (CCDS) is responsible for program development, coordination of initiatives, and executing student engagement activities in support of our community-centered data science mission. This work includes Data4All High School Program, The 11th Hour Project Software and Data Hub, Data Science for Social Impact (DSSI) Summer Program, Data Science Corps Program, and more. In collaboration with the DSI leadership team, this role will develop and execute outreach strategies to partner with programs and units within the University of Chicago, external partners, academic institutions, and civic and social impact organizations. This at‑will position is wholly funded by contractual grant funding, which is renewed under provisions set by the grantor of the contract. Employment will be contingent upon the continued receipt of these grant funds and satisfactory job performance.

Responsibilities

Develop budgets for programs and work with PIs, staff, faculty, and financial admin to ensure compliance with grant reporting requirements, including progress reports and final reports; utilize information included in progress and final reports to create content highlighting the program impact and translation of results.

Assist in the pursuit of grants and foundation proposals; support proposals by working closely with DSI leadership and faculty when appropriate.

Implement protocols for evaluating the effectiveness of CCDS programs.

Manage the daily operations of high school and undergraduate programs throughout the academic year and summer.

Lead admissions, recruiting, and enrollment of CCDS programs and activities.

Manage hiring and oversight of student staff for CCDS programs.

Implement protocols for evaluating the effectiveness of student research programs.

Serve as a primary point of contact for academic partners, students, alumni, and faculty mentors as relevant to CCDS programs.

Provide Senior Associate Director of CCDS and DSI leadership team with budget updates as needed.

Draft and publish communications content through authorized channels, such as website and email, to ensure content is up-to-date and accessible to key stakeholders.

Assist in purchasing, reimbursement and monitoring expenses for CCDS programs and initiatives.

Assist in event planning and execution, including creation of workflows and other necessary tracking documents to ensure details are appropriately managed and timelines are attended to.

Work with DSI team and leadership to identify new partnership opportunities to elevate and expand existing work to reach a broader, or higher impact, audience.

Assist DSI leadership team with other administrative and operational projects and other related work as needed.

Set and communicate program priorities and performance standards and assess operations using these criteria. Plan and conduct quality assurance reviews and recommend changes as appropriate.

Analyze program budgets and recommend or make budgetary recommendations.

Perform other related work as needed.

Education Minimum: college or university degree in related field.

Work Experience Minimum: 2‑5 years of work experience in a related job discipline.

Preferred Qualifications

Bachelor’s degree.

Administrative experience in student affairs, academic support, or closely related environment.

Previous experience with quality improvement practices.

Previous experience in a higher education setting.

Proficiency in Microsoft Office (Word, Excel, PowerPoint).

Self‑starter who can operate in a complex environment with limited oversight.

Attention to detail.

Familiarity with general business practices, in particular budget and deliverable tracking.

Commitment to providing a high level of service and working in a team environment.

High degree of professionalism and emotional intelligence.

Handle confidential information with utmost discretion.

Excellent interpersonal, oral, and written communication skills.
