Vice President, Project Management

Job Summary The Vice President, Project Management is responsible for ensuring flawless, on-time delivery of projects by developing timelines, building relationships, creating structure, and holding team members accountable. This role is also responsible for identifying, supervising, and mentoring a team of project managers.
Responsibilities
Partner with agency leadership to build the project management department, including developing standard operating procedures and fostering cross-departmental collaboration
Maintain visibility across all projects by overseeing end-to-end project delivery, managing timelines from brief development to asset delivery, and ensuring projects are completed on schedule and within scope
Conduct project kick-off meetings with relevant teams to review scope and actively lead and delegate projects, collaborating with internal teams (account, creative, etc.) to develop timelines, communicate achievements, and identify and mitigate risks stakeholders on vision and timeline
Proactively communicate with stakeholders, including agency partners—throughout the project lifecycle, providing regular updates and flagging risks, delays, or scope changes via status reports, hot sheets, and issue trackers
Facilitate post-mortem reviews with agency or account leaders and key stakeholders to capture lessons learned and drive continuous improvement
Display fluency in agency platforms and ways of working to drive efficiency and consistency
Stay current on industry trends and market changes, sharing relevant insights
Model and promote Petauri core values—leadership, partnership, professionalism, innovation, integrity, accountability, and quality—in all interactions
Cross-Functional Collaboration
Lead internal meetings across departments and other key personnel to discuss project status as required
Drive the daily activities of a project by overseeing project scope, changes, and roadblocks within timelines and budgets
Coordinate strategic and business planning meetings with key stakeholders
Contact reports detailing decisions and next steps coming out of internal meetings
Lead engagement with relevant vendors and client partners
Finance
Monitor budgets, including direct and labor costs; review for out-of-scope items and hours, and manage burn rate across individual projects and overall scope
Collaborate with team members to meet financial deadlines for estimates, invoices, and budgets
Develop detailed project estimates and ensure financial accountability
Leadership
Identify growth opportunities for team members and direct reports, and provide coaching and mentorship
Conduct performance reviews, prepare development plans, and set goals for direct reports
Manage and supervise colleagues as needed, depending on team size
Requirements Bachelor’s degree with a concentration in business, project management or related field; or the equivalent combination of education and/or relevant work experience.
10-12 years of experience in project management at a life sciences agency experience is preferred but not a requirement
East Coast preferred
Strong working understanding of agency process (including both digital and print resources), job-tracking systems and/or project management software (i.e., Smartsheet, etc.), and best practices; direct experience with Suite Projects Pro and Wrike platform is preferred
Demonstrated experience working with and successfully managing, motivating, and developing team members
Flexible with proven change management skills
Proven ability to solve complex problems, manage conflict resolution, and collaborate with others
Launch experience is preferred
Exceeds at identifying and managing risk implications
Ability to drive change and achieve results in a dynamic environment
Proficient in Microsoft Word, Excel, PowerPoint, Outlook
Ability to travel for onsite meetings (as requested)
