A leading and growing financial services firm located in the vibrant heart of downtown Chicago is seeking a polished, resourceful, and proactive Executive Assistant to join its fast-growing team. This is an exciting in-person opportunity to provide high-level support to senior leadership in a dynamic, fast-paced, and collaborative environment. The position offers a competitive salary of $75,000–$95,000, along with a comprehensive benefits package that includes medical and dental coverage, generous paid time off, and more.

Key Responsibilities

  • Expertly manage complex executive calendars, coordinating meetings, conference calls, and events with precision and professionalism.
  • Arrange seamless domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
  • Act as a trusted liaison between executives, clients, and internal teams to ensure effective communication and timely follow-up.
  • Prepare, review, and refine correspondence, reports, and presentations with meticulous attention to detail.
  • Oversee meeting and event logistics—book conference rooms, manage catering orders, and ensure smooth setup and breakdown.
  • Support daily office operations by tracking inventory, ordering supplies, and managing vendor relationships.
  • Greet and assist visitors, creating a warm and professional first impression, while providing proactive administrative support, handling special projects, and managing occasional errands.

Qualifications

  • Bachelor’s degree preferred; equivalent relevant experience will be considered.
  • Minimum of 3-5 years’ experience providing executive-level administrative support in a professional environment.
  • Previous experience in private equity, finance, consulting, or related fields strongly preferred.
  • Exceptional written and verbal communication skills with the ability to draft professional correspondence.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong overall tech aptitude.
  • Highly organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality, discretion, and professionalism.
