The Role
Reporting to the Office Manager, we are looking for a professional, high‑energy Receptionist to serve as the first point of contact for our Nashville headquarters. This role is essential to creating an exceptional experience for employees, visitors, and vendors while providing critical operational support to ensure our office runs smoothly every day.
The Receptionist is responsible for managing front desk operations, coordinating visitor experiences, and supporting the Office Manager with facilities management, including breakroom operations, conference room readiness, supply inventory, and event logistics. This position ensures our workspace is welcoming, well‑maintained, and fully functional at all times. This is a full‑time in‑office position located in downtown Nashville.
YOU WILL
Front Desk & Visitor Management
Greet all visitors with professionalism and warmth, creating an outstanding first impression
Manage visitor check‑in process and badging
Coordinate parking validation for visitors and guests
Manage hoteling desk reservations and workspace setup for remote employees visiting the office
Maintain a welcoming and organized reception area
Facilities & Office Operations
Manage breakroom operations including stocking supplies, beverages, and snacks
Ensure all conference rooms are clean, tidy, and fully prepared for meetings each day
Monitor and replenish office supplies, pantry items, and breakroom inventory
Order catering and lunch for team meetings, events, and special occasions
Coordinate with vendors for office maintenance, cleaning, and supply deliveries
Maintain common areas to ensure they are welcoming and well‑organized at all times
Administrative & Event Support
Manage incoming and outgoing mail, packages, and courier services
Coordinate conference room bookings and resolve scheduling conflicts
Support the recruiting team with scheduling candidate interviews, coordinating interview logistics, and other recruitment coordination tasks as needed
Support employee engagement events, culture initiatives, and team celebrations
Assist with onboarding new employees, including workspace setup and building orientation
Provide administrative backup for the Office Manager and Executive Assistant team as needed
Process expense reports and maintain administrative documentation
Culture & Team Collaboration

Contribute to a positive, inclusive, and collaborative office environment
Participate in cross‑functional projects and process improvements
Build strong relationships across all departments and levels
YOU BRING (Qualifications)
2+ years of experience in a receptionist, front desk, or administrative support role
Strong customer service orientation with a hospitality mindset
Proven ability to manage facilities operations, inventory, and vendor relationships
Excellent organizational skills and ability to manage multiple priorities simultaneously
Proactive problem‑solver who anticipates needs and takes initiative
Proficiency in Microsoft Office Suite, Teams, and calendar management tools
High level of discretion when handling confidential information
Professional appearance and presentation with high emotional intelligence
Strong attention to detail and commitment to maintaining a polished environment

Experience in a fast‑paced tech or software company environment
Background in hospitality, facilities management, or office operations
Experience with vendor management and catering coordination
Familiarity with visitor management systems and office technology platforms
Event planning or coordination experience

Compensation Information
Pursuant to state and local law disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience and location is $40,000 to $50,000 per year. This position may be eligible for an annual discretionary incentive award. The incentive award amount is dependent upon company performance and your personal performance and is not guaranteed.
