We’re looking for a positive, talented, and goal‑driven Real Estate Assistant and operational leader to support Olga Golovoko – a top‑producing agent ranked in the top 1.5% nationwide and the #1 Keller Williams agent across Northern California and Hawaii. Based in Campbell, CA, this is a rare opportunity to step into a high‑performance environment and become the steady force that keeps a thriving business running seamlessly.

As the operational backbone of the business, you’ll provide executive‑level support to the Lead Agent, deliver concierge‑level service to clients, and ensure listings and transactions move smoothly from start to finish. You’ll take ownership of refining systems and processes, keeping everything efficient and organized. By managing the details and clearing distractions, you’ll empower the Lead Agent to focus on building relationships, winning new business, and closing deals. And you won’t do it alone—you’ll collaborate with marketing coordinators and a field assistant to help you succeed.

Responsibilities

Executive Level Support – manage emails, calls, and calendars; deliver concierge‑level client service; keep the Lead Agent on track.

Operations Management – optimize systems, refine processes, coordinate with team members; manage budgets, track invoicing, and monitor ROI across initiatives.

Client Care – manage the database, nurture relationships, and deliver high‑touch service before, during, and after transactions.

Listing Management – support listing appointments, coordinate vendors and home prep, manage disclosures, and ensure listings are market‑ready.

Buyer Transactions – organize showings, set up searches, prepare offer packages, and assist with market analyses.

Transaction Coordination – oversee contracts from acceptance to close, ensure compliance, and keep all parties informed each step of the way.

Marketing Support – collaborate with marketing, update materials, gather testimonials, and deliver consistent, polished communications.

Qualifications

2+ years of supporting a residential agent or team in a similar capacity.

Active CA real estate license.

Experience using multiple CRM systems, Odoo, DocuSign, CAR Forms, and MLS.

Compensation & Benefits $120,000 – $150,000 yearly, with bonus opportunities. Benefits include paid vacation, holidays, sick leave, contribution toward medical benefits, and 401(k) with employer contribution.

Schedule & Location Hybrid schedule – full‑time, 40+ hrs, Monday‑Friday (9‑6) with some flexibility for evenings and occasional weekends. Location: Campbell, CA. You should live within a 40‑minute commute of Campbell, have a personal vehicle, valid driver’s license, and insurance.
