Eden Health is hiring an Assistant Business Office Manager to support our administrative office in Longview, WA. This position oversees the maintenance of current and accurate records of business, acts as the Human Resources and Payroll Liaison for the Agency, organizes, develops, and maintains business office systems in accordance with Eden Health standards, and assists the Business Office Manager in daily operations while performing delegated duties under direct supervision. The role also acts on behalf of the Eden Senior Leadership Team upon request.

Job Summary
- Acts as the main liaison between the Agency and the Vancouver Service Office (VSO) departments.
- Acts on behalf of the Eden VSO Senior Leadership Team upon request.
- Organizes, develops, and maintains business office systems per Eden Health and VSO requirements.
- Facilitates Agency staff recruitment by establishing Agency processes per Eden Health and VSO requirements.
- Facilitates Marketing and Promotional needs by establishing Agency processes per Eden Health and VSO requirements.
- Develops and oversees processes to guarantee accurate records are maintained per Eden Health and VSO requirements, including:
- Human Resources Activities, including Personnel Files
- Staff Education
- Staff Recruitment
- Marketing and Promotional Requests
- Accounts Payable
- Bank Deposits
- Communicates with VSO regarding policies, requirements, and problem‑solving of business office matters as needed.
- Oversees medical and office supply ordering, develops processes for efficient and cost‑effective ordering, works with vendors such as Medline to arrange new user and remedial training as necessary.
- Oversees building and equipment maintenance, establishes and maintains an ongoing positive relationship with vendors.
- Supervises and trains staff performing the Assistant Business Office Manager functions.
- Receives payment for patient’s private pay or co‑pay payments per VSO policy.
- Makes timely bank deposits and sends information per cash policy.
- Prepares accounts payable for timely computer transmittal to Vancouver Service Office (VSO) in accordance with established processes.
- Supervises timely submission of payroll from time clock to VSO, including:
- Prints and distributes time reports for department supervisors’ review and approval.
- Summarizes staff time reports, regular and sick time, overtime, holiday, and vacation after approvals.
- Posts hours to payroll software, prepares balancing report, prints time reports, and tracks quarterly, year‑to‑date, and other necessary tax reports.
- Prepares miscellaneous time entries (vacation, sick, and adjustments) prior to computer transmittal to VSO.
- Supervises the paperwork process related to employee hires, changes, and terminations (voluntary and involuntary) in terms of submitting appropriate paperwork and personnel files.
- Maintains petty cash account, reconciles account, and requests replenishment as needed.
- Coordinates vendor contracts, in conjunction with Business Operations Manager.
- Copies records, policies, and other pertinent documents, and distributes copies per VSO request.
- Once Essential Functions have been completed, may be assigned additional tasks as necessary.
- Maintains records of county/city/business licensure and requests renewals as appropriate in coordination with the VSO Legal Department and Operations Manager.
Education/Experience Requirements
- High school diploma or equivalent required.
- Associate’s degree preferred.
- Previous experience in Human Resources desired.
- Two to three years progressively responsible administrative experience.
- General clerical, data entry, and excellent organizational skills.
- Healthcare experience preferred; medical terminology desired.
- EHR medical record documentation experience preferred.
- Able to communicate effectively in English verbally and in writing.
- Working knowledge of computer software programs.
- Valid driver’s license and reliable transportation.
- Able to pass criminal background check and national sex offender clearance.
- Must be able to physically report to the administrative office for the entire shift. This is not a remote position.
