Are you a highly organized project controls expert ready to drive successful construction and renovation projects within a dynamic, high-security airport environment? We are seeking a proactive and detail-oriented Project Controls Administrator / Office Engineer to manage the critical documentation, financial tracking, and administrative workflow for a large-scale Tenant Improvement (TI) Program at a major Bay Area airport.

What You'll Do

Financial Control: Own the Change Order (CO) management process from start to finish—including receiving proposals, performing initial cost analysis, preparing backup documentation, and maintaining a real-time status log.

Payment Administration: Process, track, and reconcile contractor and consultant Progress Payments/Invoices, verifying work completion against contract terms.

Documentation Mastery: Maintain and administer the project management software (e.g., Prolog, Procore) for all documentation, including RFIs, Submittals, Daily Reports, Meeting Minutes, and Correspondence.

Project Lifeline: Manage the efficient flow and timely tracking of RFIs and Submittals to ensure design and construction decisions are made without delay.

Reporting & Analysis: Prepare accurate monthly financial and project progress reports for executive review and client stakeholders.

Closeout Management: Coordinate and execute the project closeout phase, compiling critical documentation such as warranties, O&M manuals, and record drawings.

What You'll Bring

Experience: 5+ years of experience in construction project administration, office engineering, or project controls, preferably on commercial, airport, or other complex, large-scale institutional projects.

Education: Bachelor's degree in Engineering, Construction Management, or a related field; relevant experience may be considered in lieu of a degree.

Technical Proficiency: Advanced skills in project management software (e.g., Procore, Prolog, PMWeb) and expert proficiency with Microsoft Excel for cost tracking and reporting.

Contract Knowledge: Solid understanding of construction contracts, terminology, and project delivery methods (Design-Bid-Build, Design-Build).

Attention to Detail: An exceptional, non-negotiable dedication to detail, organization, and document integrity.

Communication: Excellent verbal and written communication skills to effectively coordinate with contractors, design teams, and airport operations staff.
