About the Role We are seeking a proactive, detail‑oriented, and tech‑savvy Executive and Client Services Manager to support the Principal and the firm’s Partners. This role will facilitate the firm’s ability to focus on client relationships, business growth, and strategic initiatives. Each day will be different. You will move from answering client calls, to addressing a client servicing issue, to supporting the firms charitable projects. This position is 70% focused on wealth management operations and client service support and 30% focused on philanthropic, real estate, and personal executive assistance.
Responsibilities Leadership Support
Manage leadership’s inboxes, calendars, and daily priorities.
Serve as a trusted partner who anticipates needs and keeps projects moving.
Keep tasks, projects, and data organized across multiple ventures.
Wealth Management (70%)
Support client service requests such as address changes, beneficiary updates, and account maintenance.
Prepare and process custodian paperwork (Schwab, Fidelity, or similar).
Maintain CRM (Redtail) and assist with portfolio reporting (Orion).
Manage clean records and databases; sort, organize, and interpret data for client and firm use.
Assist with compliance, billing, and operational workflows.
Support the Principal with real estate portfolio tasks, including vendor and property manager coordination.
Assist with philanthropic initiatives and charitable projects.
Handle executive‑level personal logistics when needed.
Qualifications Experience
5+ years experience as an Executive Assistant, administrative support, or similar role preferably in a Financial services industry background, especially with Schwab, Fidelity, or other custodians
Bachelor’s Degree in Business Administration or similar field or equivalent amount of work experience.
2+ years experience in a client facing role or in client service responsibilities
Required Qualifications
Strong organizational skills
Excellent written and verbal communication skills
Ability to represent the firm professionally with clients and other external parties
Exceptional technology skills :
moderate to advanced knowledge of Excel, MS Office Suite, capacity to work on Mac OS and fluent with AI productivity tools (e.g., ChatGPT).
Fast and accurate typing and data entry skills
Demonstrated ability to maintain, manage, and interpret data; keep clean records and databases.
Intuitive, proactive mindset with the ability to anticipate needs and act without step‑by‑step direction.
Experience in handling information that requires a high level of discretion and confidentiality.
Ability to work independently in a mostly remote environment.
Must have a secure, private workspace of their own that is suitable for confidential client and firm work.
Should be able to provide reliable internet connection in personal workspace.
All applicants should be able to read, write, and speak English fluently.
All applicants should be eligible to work in the United States without the need for sponsorship.
Valid US Driver’s license and ability to drive for work related responsibilities.
Preferred Qualifications
Experience with Orion, Redtail CRM, or comparable portfolio/accounting systems.
Experience handling client service requests (e.g., beneficiary updates, address changes, account transfers).
Background in real estate or familiarity with vendor/contractor coordination.
Prior exposure to philanthropic or nonprofit project support.
This is a hybrid role: primarily remote with flexibility built in, but regular on‑site presence will be required for meetings, projects, or vendor coordination. Candidates should live within reasonable driving distance of Saint Simons Island, GA.
Compensation Competitive salary commensurate with experience, with potential for growth and advancement depending on performance.
Physical Requirements Position will require that candidates be able to sit for long periods of time; stand; walk; have full use of fingers especially for the use of the keyboard; be able to speak clearly and have full use of the telephone. Candidates should be able to provide their own reliable transportation for both arrival and departure from work, but also for driving for work related responsibilities. Candidates should be able to regularly lift and carry 20‑30 lbs. and occasionally lift 55 lbs.
