As a Project Administrator, you will be at the center of project coordination. You will help keep schedules, documents, communication, and reporting running smoothly. Summary The Project Administrator provides essential administrative and project support to the Project Management Team throughout all stages of the project lifecycle. This position is responsible for organizing project documents, coordinating construction administration tasks, preparing closeout packages, processing billing items, and supporting internal and external communication. The role requires strong attention to detail, excellent organization, and the ability to manage multiple priorities in a fast-paced construction environment.
Responsibilities
Assist the Project Management Team from project planning through closeout
Coordinate construction administration tasks including submittals, RFIs, logs, and project status reports
Organize, manage, and maintain digital project documentation with consistent naming and file structure
Process and track change-orders in collaboration with the Project Management Team
Assist in soliciting and receiving bids from ATMI Precast subcontractors
Manage project closeout activities including gathering required documents, compiling closeout packages, and submitting them to clients
Process and track warranty requests and maintain related logs
Assist with processing monthly billings, lien waivers, invoice tasks, and supporting documents
Support billing and collection efforts through internal coordination and communication with clients
Understand and apply internal cost code systems, reporting structures, and document protocols
Maintain positive communication with project stakeholders, vendors, subcontractors, and internal teams
Perform other administrative and project-related duties as assigned
Requirements
Associate degree or equivalent combination of education and experience
Proactive, solution-oriented mindset with a focus on supporting the Project Management Team
Strong interpersonal skills to maintain collaborative, professional relationships
Experience as a Project Administrator, preferably in commercial construction
Experience with construction payment platforms such as Textura, GC Pay, Sage, or similar
Ability to prioritize multiple tasks and consistently meet deadlines
Strong proficiency in Microsoft Office Suite including Word, Excel, Outlook
Excellent organizational skills and high attention to detail
Strong written and verbal communication skills
Experience in precast concrete, subcontracting, or related construction environments
Environment and Physical Requirements
Office-based role within a construction environment
Ability to sit for extended periods while performing computer and administrative work
Occasional walking within plant or office areas as needed
Must maintain professionalism and confidentiality regarding project, financial, and client information
Full-time role, typically 40+ hours per week
Occasional early start times or adjusted hours based on project needs
