Executive Director, Administration and Finance Position Summary The Executive Director of Administration and Finance, Population Health Sciences provides comprehensive administrative and operational leadership to ensure the efficient functioning of all departmental activities. This role is responsible for managing core areas including finance, human resources, research administration, compliance, facilities, and educational programs. The Executive Director focuses on implementing effective processes, maintaining compliance with institutional policies and regulatory requirements, and delivering timely support to faculty, staff, and students. Strong organizational, financial, and communication skills are essential for managing complex academic and research operations in a fast‑paced healthcare environment.

Job Responsibilities

Manage all financial operations, planning and budgeting, expense monitoring, and reporting for the department and external funding portfolio.

Develop team capacity to for effective pre and post grant management, including implementing financial projections for research teams, including individual PIs and labs.

Administer financial aspects of educational programs across multiple campuses.

Oversee day‑to‑day administrative operations for the department, ensuring smooth workflows and high‑quality support services.

Serve as a primary point of contact for operational issues, resolving challenges promptly and effectively.

Lead and manage a team of 15 administrative and grants/financial professionals, ensuring effective communication, comprehensive training, and consistent performance management.

Coordinate faculty recruitment, appointments, promotions, development, and annual reviews in collaboration with leadership.

Manage departmental space and facilities, including annual space surveys and issue resolution.

Oversee equipment inventory and technology needs, including procurement and implementation of systems.

Support for the development and sustainability of educational programs, including new initiatives. Responsibilities include coordinating operational processes and evaluating financial models to assess program viability and long‑term resource needs.

Education

Master's Degree in related field required

Experience

Minimum 8 years of administrative experience in an Academic Medical Center or hospital environment.

Prior experience in administration, marketing, and budgeting.

Experience with advanced technological systems such as SAP or equivalent.

Knowledge, Skills and Abilities

Strong leadership, management, organizational, analytical, negotiation, and conflict resolution skills.

Excellent written and oral communication skills.

Demonstrated ability to build, lead, and sustain a high‑performing team, fostering collaboration and accountability.

Ability to exercise discretion and sound judgment in handling sensitive and confidential human resources matters, including recruitment, promotions, and personnel issues.
