About The Role We are looking for a Sales & Event Coordinator to partner with and assist the sales team to achieve established revenue goals and service metrics. This critical role will support the sales manager with conducting onsite tours, following up on new active groups, and managing all sales‑related client and internal communication regarding reservations and billing. Additionally, you will serve as the onsite point of contact for all events, ensuring seamless execution and client satisfaction. You will report to the Hotel General Manager and work closely with the Area Sales Manager while also acting as a liaison between Sales, Reservations, GX, Billing, and Operations.
Responsibilities Sales & Client Management
Act as the main point of contact for clients throughout the planning process
Conduct onsite tours showing rooms and event spaces
Create proposals, draft contracts, and prepare invoices for events and sales bookings
Assist Sales Managers with reservations, client follow‑up, and lead management
Promote services and support sales initiatives to meet revenue targets
Event Planning & Logistics
Meet with clients to understand event or group needs
Prepare group resumes, event outlines, timelines, and "run of show" documents
Research, book, and coordinate vendors, venues, catering, and services
Manage event budgets and ensure expenditures remain on target
Coordinate group rooming lists in Kontrol and maintain client communication in the Thynk system
On‑Site Event Execution
Oversee event setup and breakdown in coordination with onsite staff
Greet guests, attendees, and clients upon arrival
Troubleshoot event‑day issues quickly and professionally
Coordinate staff or vendors to ensure smooth event flow
Administrative Support
Answer and respond to phone and email messages promptly
Distribute incoming mail and maintain filing systems
Type correspondence, prepare meeting minutes, and manage data entry
Maintain accurate records of sales activity, client interactions, and event history
Assist with inventory and coordinate internal communications
Collaboration
Work closely with Operations, Finance, Reservations, and Guest Experience
Attend meetings and training sessions as required by management
Qualifications
Warm, friendly, and courteous demeanor with guests, clients, vendors, and team members
Strong organizational and time‑management skills with great attention to detail
Effective verbal and written communication skills
Ability to multitask, prioritize, and meet deadlines in a fast‑paced environment
Computer literate; experienced with Google Workspace tools and able to learn new tools quickly
Database management experience
Ability to engage management decision‑makers and influencers at any level
Motivated by attainment of goals and metrics
Able to work independently and self‑motivated
Ability to lift, carry, push, or pull objects up to 20 pounds occasionally and up to 10 pounds frequently

Prior hospitality experience
Experience in event planning, catering sales, or venue coordination
Experience with CRM tools and event‑planning software
