Job Purpose The ideal candidate will deliver accurate, compliant, and efficient payroll processing and partner with HR and Finance teams to support employee needs and drive operational excellence. This role also supports standardizing payroll practices across all U.S. locations for the Regional HR Operations and Compliance Manager.
Reporting To Regional HR Ops and Compliance Manager, US
Job Responsibilities Payroll Processing
Process bi‑weekly and semi‑monthly payrolls for multiple states, ensuring accuracy and compliance.
Manage payroll for hourly and salaried employees, including data imports and adjustments.
Audit payroll data and review previews before submission.
Provide reporting tools for payroll data review and analysis.
Compliance and Reporting
Stay current with federal and state payroll regulations.
Support tax registrations (Withholding, Unemployment, FMLA).
Manage garnishment processes and legal withholding orders.
Prepare statistical payroll reports for BOLEC, BLS, and the Census Bureau.
Handle unemployment claims and coordinate with state agencies.
Benefits and Deductions
Upload payroll deductions for ADP (401(k) changes, loans).
Reconcile discrepancies with Benefits Manager.
Process benefit‑related deductions and supplemental pay for New York Paid Family Leave.
Process the Carrot fertility program and taxable gross‑ups.
Audit and Reporting Support
Prepare data for workers’ compensation audits, 401‑K, DOL reporting.
Maintain confidentiality and security of payroll data.
Assist with internal and external audits and resolve discrepancies.
Generate regular and ad‑hoc reports for HR, Finance, and leadership.
Collaborate on internal controls, audit readiness, and compliance initiatives.
Identify opportunities to improve payroll reporting and process efficiency.
Project and Improvements
Train HR leads on HRIS system for accurate data entry.
Participate in HRIS enhancements (PTO accruals, holiday tables, automation projects).
Support payroll integration for new acquisitions.
Job Requirements
Bachelor’s degree in Business, HR, or related field (or equivalent experience).
Minimum 5 years of solid payroll processing experience in a multicultural, multi‑state environment.
Proficiency with payroll systems (UKG, Kronos, SuccessFactors, etc.).
Knowledge of federal and state payroll regulations (Florida, Texas, Massachusetts, Illinois, New York).
Advanced Excel skills (pivot tables, VLOOKUP).
High accuracy, confidentiality, and attention to detail.
Strong communication and collaboration skills.
Experience in HR/Payroll within a global organization.
Experience with HRIS/Payroll systems.
Experience in education or similar industries.
Bilingual Spanish and English.
Analytical skills to drive business objectives.
Experience supporting corporate/head‑office functions.
