The Leave of Absence Specialist is responsible for reviewing, triaging, determining eligibility, and answering general questions for all leaves of absence, including FML, MLOA, CFRA, Personal, WC, Light Duty, Military, and all leaves covered under the Collective Bargaining Agreements and UC Policy PPSM 2.210. The specialist serves as the primary point of contact for the unit and assists with data collection and support for collective bargaining units such as CNA, UPTE, AFSCME, and CUE.

The role requires a high degree of confidentiality and organization, analytical abilities, strong customer‑service skills, excellent communication and interpersonal skills, and the ability to remain composed under stress. The specialist will maintain discretion when handling sensitive information and professional interactions with all levels of employees, including C‑Suite executives within the UC Davis Health System.

Minimum Qualifications

Bachelor's degree in a related area and/or equivalent experience/training.

Experience managing high‑volume, varied case work accurately and timely.

General understanding of federal and state laws concerning FML, CFRA, PDL, and UC Policy PPSM 2.210.

Intermediate knowledge and experience applying FMLA/CFRA/PDL entitlements.

Ability to research, analyze, and interpret data from multiple sources and implement solutions.

Confidentiality skills, judgment in discerning sensitive material, and discretion.

Computer‑related skills in Aggie Service, time & attendance systems, leave processing systems, Adobe/PDF, and MS Office.

Excellent customer service and professionalism, including handling sensitive matters.

Strong communication skills for advising and presenting information clearly to all staff levels.

Independent and team work skills in a fast‑paced environment.

Prioritization skills to manage changing workloads and meet time frames.

Understanding of standards, assessment, and appropriate action determination.

Basic use of Ecotime time & attendance system and Ecotime FML module; ability to create reports.

Writing and editing skills for clear communication in correspondence and reports.

Interpersonal skills for liaison work and departmental harmony.

Conflict resolution, customer service, and analytical problem‑solving skills.

Highly organized, skilled in time management and priority setting.

Sensitivity when dealing with difficult and complex issues.

Positive collaborative work environment contribution.

Learning and use of case management system and leave tracking tools.

Adherence to UC Davis Health privacy practices and maintenance of confidentiality.

Preferred Qualifications

Experience in a large academic or non‑profit medical setting.

Knowledge of UC policies, procedures, and collective bargaining agreements.

Knowledge of UC and UCDH policies, The Joint Commission, applicable regulations and standards.

Basic functions of UC Path—extended absence modules, administrating extended absence module, job data screen, person organization summary, and benefit summary.
