Position Title: MEETINGS AND EVENT MANAGER
Salary: $90,000 - $115,000
Pay Grade: 15

Job Summary Strategic and detail‑oriented Meetings & Events Manager to lead the planning, coordination, and execution of all on‑site meetings and events, while overseeing front‑of‑house concierge operations within R&D facilities. This role delivers seamless, engaging experiences for employees, guests, and stakeholders, upholding the highest hospitality and operational excellence.
Key Responsibilities
Manage and mentor an event coordinator and concierge, ensuring seamless execution across all events and hospitality operations.
Lead end‑to‑end planning and execution of internal and external events: venue setup, vendor coordination, material coordination, transportation, travel, catering, AV/tech support, hybrid/virtual delivery.
Act as event project manager: develop timelines, facilitate planning meetings, collaborate with cross‑functional partners, drive deliverables, maintain stakeholder communication.
Design and deliver impactful event experiences tailored to diverse audiences, aligning with business objectives.
Collaborate with stakeholders to deliver high‑impact scientific events, supporting speaker coordination, agenda development, and content curation.
Manage event budgets, contracts, and reporting in alignment with procurement standards.
Partner with AV provider to coordinate and deliver all audiovisual support required for site‑wide operations.
Oversee front‑of‑house concierge operations, ensuring a professional, welcoming experience.
Engage with senior leadership and cross‑functional teams to align on event strategy, objectives, and program goals.
Collaborate with Communications team to develop and distribute event‑related communications.
Analyze post‑event feedback and metrics to refine future events.
Stay current on event technology trends and best practices, especially in hybrid and scientific formats.
Qualifications
Bachelor’s Degree in Event Management, Hospitality, Communications, or related fields.
5+ years of experience in corporate event planning, preferably in pharmaceutical, biotech, or scientific research settings.
Demonstrated time management and organizational skills; ability to plan, coordinate, and execute multiple events simultaneously in fast‑paced environments.
Proven ability to navigate change effectively, using tools and techniques for adapting to evolving priorities.
Experience managing small‑to‑mid‑size event budgets, foundational knowledge of contractual terms, and vendor negotiation skills.
Proficiency in event technologies and hybrid delivery platforms.
Preferred Skills
Familiarity with the culture and operational dynamics of R&D or scientific organizations.
Certification in Meeting & Event Planning (CMP or equivalent).
Knowledge of front‑of‑house operations and workplace hospitality standards.
Excellent communication, negotiation, and problem‑solving skills.
Ability to manage multiple projects simultaneously under tight deadlines.
