Overview
The Office of Continuing Professional Education (OCPE) at Rutgers University seeks an Administrative Assistant to support program coordination and event management.
Responsibilities
- Prepare and control records, statistics, reports, and documents for courses and related events, including recertification filings.
- Oversee day‑to‑day operations of programming and assigned duties.
- Schedule appointments, coordinate logistics for courses, programs and events—including online moderation of remote classes and in‑person classes (occasional nights/weekends).
- Create and approve routine informational course materials such as agendas, course shells, brochures and webpages.
- Draft service contracts and process instructor payments; submit invoices and expenses for payment; ensure materials, equipment and sites are prepared and confirmed.
- Serve as liaison within the unit, university departments, outside vendors and instructors.
Qualifications
- Bachelor’s degree from an accredited institution in a related field or equivalent combination of education and experience.
- Valid driver’s license and completion of the university’s defensive driving program.
- Good communication and customer‑service skills.
- Computer literacy in MS Office Suite and Adobe software.
- Ability to work effectively in a high‑energy, fast‑paced, challenging environment.
- Ability to handle multiple concurrent tasks and priorities.
- Knowledge of OCPE’s programs, mission, vision and goals.
Salary & Benefits
Grade 03. Salary range: $52,602 – $76,975. Benefits include medical, dental, prescription drug coverage; paid vacation & holidays; retirement plan; educational benefits; life insurance; employee discount programs.
Work Arrangement
Full‑time, 8 a.m.–4 p.m., 37.5 hrs/week. May be eligible for a hybrid schedule after six months, subject to Rutgers Policy 60.3.22.
