Job Summary
Summary: Provides administrative support to the Human Resources Director on all personnel matters. Assists with payroll processing.
Essential Duties and Responsibilities:
- Performs customer service functions by answering employee requests, inquiries, and questions both in person and over the phone.
- Updates HR spreadsheet with employee change requests, tracks HR compliance items and processes paperwork.
- Submits MLB credentialing for events.
- Assists HR Manager with various research projects and/or special projects.
- Schedules meetings and interviews as requested by HR Manager.
- Makes photocopies, mass printing jobs, scans documents and performs other clerical functions.
- Files/scans papers and documents into the appropriate employee files using shared drive.
- Prepares and creates new employee files.
- Creates standard operating procedures.
- Supports large-scale orientations.
- Processes office mail.
- Manages office bulletin boards.
- Responsible for ensuring the office is clean, tidy, decorated, and stocked.
- Tracks office supply inventory and submits office supply orders.
- Supports HR employee engagement initiatives.
- Assists all managers with miscellaneous projects.
- Performs other duties as assigned.
Qualifications:
- This position requires strong organizational skills, an understanding of HR practices, and the ability to work collaboratively in a fast-paced environment.
- 1-2 years of experience in an administration role.
- Strong verbal, written, and interpersonal communication skills are a must.
- Must be able to maintain the highest level of confidentiality and handle sensitive matters professionally.
- The ideal candidate is a proactive, polished professional with exceptional communication skills, meticulous attention to detail, and the ability to represent the department with confidence and professionalism.
- Demonstrated ability to stay composed and effective in high‑pressure situations.
- Proficient with office equipment including scanners, copiers, and printers.
- Bilingual preferred.
