Junior Executive Assistant to the Dean of the McDonough School of Business at Georgetown University.
The position supports the Dean in all administrative and strategic functions, ensuring the smooth operation of the Dean’s office and providing high‑level coordination for internal and external stakeholders.
Job Overview The Executive Assistant provides comprehensive administrative support to the Dean, combining strategic calendar management, logistical coordination, and acting as a trusted advisor and key point of contact for the Dean’s Office.
The role also manages day‑to‑day front‑office operations, including reception, visitor relations, conference room setup, facilities coordination, and vendor communications. High discretion and professionalism are essential for engaging with donors, university leadership, and high‑profile guests.
Duties / Responsibilities
Manage the Dean’s calendar, prioritizing strategic objectives, and coordinating logistical transitions.
Coordinate domestic and international travel, including complex multi‑leg itineraries and accommodations.
Prepare briefing documents and presentation decks.
Set up meeting rooms, facilitate written communications, and manage special projects.
Monitor the office email account and draft school‑wide communications.
Serve as the primary point of contact for the Dean’s Office, maintaining a welcoming and professional environment.
Requirements and Qualifications
Bachelor’s degree and at least 5 years of executive support or administrative management experience (or equivalent).
Thrives in a fast‑paced, high‑stakes environment, demonstrating flexibility, composure under pressure, and the ability to manage shifting priorities.
Operates beyond traditional administrative support, serving as a strategic partner and trusted advisor to the Dean.
Anticipatory thinker with a proactive mindset, identifying needs and preventing problems.
Trustworthy with discretion for sensitive and confidential information.
Effective communicator with diverse stakeholders, including VIP guests, donors, faculty, staff, students, and university leadership.
Strong written and verbal communication skills, with polished execution in emails, calendar invitations, travel logistics, and meeting briefings.
Sound judgment and ability to manage issues independently or know when to escalations are required.
Exceptionally organized, detail–oriented, and able to manage multiple tasks while meeting deadlines.
High proficiency with Microsoft Office Suite, Google Workspace, and scheduling or database tools.
Flexible working conditions, including occasional extended hours for events or critical deadlines.
Preferred Qualifications
Experience supporting senior leadership such as a Dean or C‑suite executive.
Familiarity with Georgetown University systems and protocols.
Experience with financial reconciliation and procurement systems.
Work Mode Designation This position is designated as
Hybrid (1 Day) .
The Executive Assistant is expected to work in‑person four days a week, with one remote day per week, subject to agreement with the Chief of Staff.
Pay Range $47,586.00 – $87,558.13 per year, based on qualifications, experience, and the University’s needs.
