Job Overview The Executive Assistant to the Dean provides comprehensive administrative support to the Dean of the McDonough School of Business and ensures the smooth operations of the Dean's Office. This role is essential for maintaining organizational efficiency and professional front‑office operations. It combines strategic calendar management and logistical coordination while serving as a trusted advisor to the Dean and key point of contact for internal and external stakeholders. Additionally, the role manages the day‑to‑day operations of the Dean's Office, overseeing reception, visitor relations, conference room setup, facilities coordination, and vendor communications. The position requires a high level of discretion, professionalism, and organizational skill to support engagements with high‑profile individuals, including donors and university leadership, while executing special projects and internal events with polished communication and attention to detail.
Responsibilities Duties include but are not limited to:
Manage the Dean's calendar with attention to strategic priorities, preparation needs, and logistical transitions.
Coordinate domestic and international travel arrangements, including complex multi‑leg itineraries and accommodations.
Provide thorough briefing documents and build presentation decks.
Prepare materials and conference room for meetings, facilitate written communication, and manage special projects.
Monitor the office email account and draft school‑wide communications.
Serve as the primary point of contact for the Dean's Office and ensure a welcoming, professional, and efficient environment.
Work Interactions The Executive Assistant reports to the Chief of Staff and works closely with the Dean, Dean's Office staff, and colleagues across the McDonough School of Business and the broader Georgetown community. The position regularly interacts with senior leadership, faculty, students, alumni, and high‑profile external guests.
Requirements and Qualifications
Bachelor's Degree and at least 5 years of experience in executive support or administrative management (or equivalent combination of education and work experience).
Enjoys and thrives in a fast‑paced, high‑stakes environment; demonstrates flexibility and composure under pressure, with the ability to manage shifting priorities, time‑sensitive requests, and crises.
Operates beyond traditional administrative support – serving as a strategic partner, time gatekeeper, and trusted advisor to the Dean.
Anticipatory thinker with a proactive mindset and the ability to identify needs and prevent problems before they arise.
Trustworthy and able to manage sensitive and confidential information with discretion and integrity.
Professional and skilled at communicating effectively with various internal and external stakeholders, including VIP guests, donors, faculty, staff, students, and university leadership.
Demonstrated strong written and verbal communication skills with polished execution in emails, calendar invitations, travel logistics, meeting briefings, and other materials.
Displays sound judgment and knows when to elevate issues and when to manage independently.
Exceptionally organized, detail‑oriented, and able to manage multiple tasks while meeting deadlines.
High level of proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and database or scheduling tools.
Must be able to operate in flexible working conditions that include occasional extended hours for events or critical deadlines.
Preferred Qualifications
Experience supporting senior leadership, such as a Dean or C‑suite executive.
Familiarity with Georgetown University systems and protocols.
Experience with financial reconciliation and procurement systems.
Work Mode Designation This position has been designated Hybrid (1 Day). The Executive Assistant is expected to work in‑person 4 days per week, with the option of working remotely 1 day per week, as agreed upon with the Chief of Staff. Work mode designations are regularly reviewed.
Pay Range $47,586.00 - $87,558.13
