is seeking a Deputy Project Manager (Program Analyst-II). This role is critical to keeping CG-SID-9 functioning smoothly through daily task tracking, administrative support, coordination, routing of acquisition documentation, and management of internal processes. The DPM will work closely with the Project Manager and Office Chief to ensure timely completion of requirements, proper document routing, strong communication flow, and accurate tracking of all assigned actions. The ideal candidate is detail‑oriented, highly organized, and excels in managing fast‑moving operational tasks in a dynamic acquisition environment.
Location: Onsite at U.S. Coast Guard Headquarters (USCG HQ)

Hours: 08:00 - 16:00 Monday through Friday
Clearance: Ability to obtain and maintain a DHS/USCG Public Trust/Suitability

Key Responsibilities Weekly Administrative Support & Task Tracking
Track and compile weekly reports of all actions assigned to CG-SID-9 or by the Office Chief.
Provide early notification of upcoming due dates and identify past‑due items.
Submit acquisition documents to DHS PARM and track their status.
Maintain and update the Acquisition Document Status Report (ADSR), tracking each phase of document review and approval.
Document Routing, Processing, and Filing
Prepare and route electronic document packages to USCG leadership using systems such as:
Task Management System (TMS)
Document Coordination & Routing System (DCARS)
Manage correspondence distribution and filing according to internal procedures.
Meeting Coordination & Office Support
Schedule meetings, reserve conference rooms, and coordinate logistics at USCG HQ.
Organize and maintain the CG‑SID‑9 internal SharePoint site and Portal structure.
Support onboarding for new Contractor personnel supporting the office.
Metrics, Reporting & Action Item Management
Help develop and maintain internal operational metrics for CG‑SID‑9.
Triage external tasks, suggest assignment plans to the Office Chief, and flag priorities.
Deliver weekly action item status reports prior to staff meetings.
Lessons Learned Database (LLDB) Administration
Support account management for new users and maintain database accuracy.
Training & Performance Expectations
Complete all required training related to governance and meeting support.
Deliver work that meets defined success metrics, including:
Timeliness of task completion
Responsiveness to Office Chief and COR requests
Accuracy of tracked actions and reports
Clear and timely communication
Required Qualifications
U. S. Citizenship is required.
Bachelor's Degree and 5 years of relevant experience is required.
Experience supporting federal acquisition programs or administrative operations is required.
Strong organizational skills and proficiency managing complex workflows is required.
Experience with official correspondence, routing processes, or document control is required.
Proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams) is required.
Ability to obtain and maintain a DHS/USCG Public Trust/Suitability is required.
Ability to work full-time onsite at USCG Headquarters is required.
Preferred Qualifications
Experience supporting USCG CG-9, CG-SID-9, or USCG headquarters components.
Familiarity with USCG systems such as TMS, DCARS, and SharePoint.
Knowledge of acquisition lifecycle processes (MSAM/NMAP beneficial).
Strong communication, writing, and coordination skills.
Experience preparing structured reports or tracking operational metrics.
PMI Certified Associate in Project Management Professional (CAPM) Certification.
