Executive Analyst Full time position. The Executive Analyst is responsible for providing high-level executive, project coordination, and operational support to a senior faculty member, Executive Vice Chair of Adult Anesthesia and Chief of Anesthesia at ZSFGH. The role requires acting autonomously to manage complex executive schedules, prepare briefing documents, coordinate stakeholder communications, and facilitate problem‑solving for administrative and operational issues, including preparing travel itineraries, drafting correspondences, coordinating sensitive communications, and serving as a liaison between the executive’s office and both internal and external parties.

The Executive Analyst exercises independent judgment to prioritize urgent matters, monitor long‑range activities, and ensure timely responses to requests. The role also includes coordinating the full lifecycle of projects, organizing timelines and milestones, identifying risks, maintaining documentation repositories, collaborating with leadership to monitor and communicate progress toward goals, and facilitating stakeholder engagement. Additionally, the Analyst supports office operations, emergency planning, community‑building initiatives, and provides backup support for various administrative roles.

Responsibilities • Manage complex executive schedules and urgent competing demands. • Prepare briefing documents and travel itineraries. • Coordinate stakeholder communications and sensitive correspondence. • Provide executive scheduling, project coordination, and operational support. • Facilitate problem‑solving and conflict resolution. • Plan and monitor project life cycles, timelines, risks, and documentation. • Support office operations, emergency planning, and client service initiatives. • Contribute to process improvement and SOP creation.

Required Qualifications

Bachelor’s degree in related area and/or equivalent experience/training

Minimum two years of experience providing executive‑level support to faculty

Demonstrated project coordination experience/skills

Demonstrated expertise in MS Office applications and other commonly used software (e.g., DocuSign, Adobe, Qualtrics, Zoom). Ability to learn to utilize other programs as needed.

Demonstrated expertise in project management software (Asana, Microsoft Project, etc.)

Strong communication and interpersonal skills to communicate effectively with all levels of staff and faculty verbally and in writing

Demonstrated experience working independently with minimal supervision, using initiative, sound judgement, and resourcefulness in performing key responsibilities

Ability to handle sensitive materials and information with confidentiality and discretion

Ability to work on multiple projects simultaneously and effectively prioritize tasks with competing deadlines

Ability to meet deadlines in a timely and accurate manner with excellent attention to detail

Excellent customer service and organizational skills

Demonstrated excellent attendance and reliability

Preferred Qualifications

Knowledge of UCSF policies and procedures

Knowledge of UC Financial systems such as MyReports, MyExpense and BearBuy

Experience working in an academic medical setting and understanding best business practices
