Executive Assistant is responsible for providing administrative support to Senior Level Executives. The Executive Assistant works in partnership and joint accountability with other team members to achieve Neighborcare Health’s Mission, Guiding Principles, and goals. In this position you will: Prepare meeting materials and presentations, compose and assemble agenda items, coordinate schedules and any special arrangements required. Provide administrative support, compose correspondence and minutes and create and maintain various reports. Establish, organize and maintain files and records. Maintain executive's calendar, i.e., plan and schedule meetings, conferences, teleconferences, and travel. Screen incoming calls, correspond with and address internal and external customers’ needs. Process, code and approve invoices. Reconcile and approve weekly credit card statements. Develop effective and supportive relationships with internal and external contacts. Compose and prepare confidential correspondence, reports, and other complex documents. Coordinate meetings, retreats and special events for executives. Compile and prepare required work materials. Exercise independent judgment and make appropriate decisions. Maintain confidentiality on all organizational and personnel matters. Track Continuing Education hours and funds for Dental, Medical, Behavioral Health and Registered Dietitians. Maintain and manage locums pool, including onboarding, training, shift-scheduling, communications, and payroll approval. Perform other duties as assigned. Key Skills, Knowledge & Abilities Knowledge of and skill in the use of computers and a variety of software programs. Proficient in Microsoft Office applications, Outlook, Word, Excel. Ability to meet and comply with HIPAA/Confidentiality policies and procedures. Ability to demonstrate excellent verbal and written communication skills. Ability to address patient needs. Ability to be detail-oriented and to multi-task. Ability to organize and problem solve. Ability to demonstrate predictable, reliable, and timely attendance. Ability to work with individuals of varying ethnicities, socio-economic levels, cultures, and sexual orientations. Required Qualifications High School Diploma/GED or AA Degree.
