Role Description

The Administrative Assistant is a critical member of our team, providing full-spectrum support for both advisors and clients. This is a full-time, on-site role that handles the A-to-Z process for client paperwork and service, from onboarding and meeting preparation to follow-up and ongoing communication. The ideal candidate is detail-oriented, proactive, and committed to delivering a seamless client experience in a fast-paced financial services environment.

Key Responsibilities

Advisor & Client Service

  • Provide direct administrative support to one or more financial advisors.
  • Serve as a primary point of contact for clients regarding service-related inquiries and scheduling.
  • Ensure all client interactions reflect the firm's professionalism and service standards.

A–Z Management of Client Work

  • Manage the complete lifecycle of client service tasks: initiate, track, and follow through to completion.
  • Coordinate with custodians and back-office support for transfers, rollovers, and account servicing.

New Account Paperwork & Processing

  • Prepare all new account paperwork accurately and in a timely manner.
  • Follow up on outstanding paperwork, signatures, and custodian requirements.
  • Ensure all documents are filed and archived in accordance with compliance standards.

Client Meeting Preparation & Support

  • Prepare meeting agendas, performance reports, applications, and relevant documents.
  • Organize and stage client meeting spaces (in-person or virtual).
  • Follow up post-meeting with summaries, action items, and document processing.

Client Communication

  • Draft and send client correspondence, including service letters, appointment confirmations, and thank-you notes.
  • Help manage the advisor's calendar to ensure timely follow-ups and check-ins.
  • Update CRM systems with notes, documents, and status changes after client interactions.

Required Knowledge / Skills / Competencies

  • Experience:
    2+ years in administrative support; financial services experience highly preferred.
  • Education:
    High school diploma required; college degree or relevant certifications a plus.
  • Tech Proficiency:
    CRM systems (e.g., Redtail, Salesforce), Microsoft Office Suite (Word, Excel, Outlook); experience or comfort with AI tools is a plus.
  • Detail-Oriented:
    Able to accurately complete and process paperwork, with a strong sense of organization and compliance.
  • People Skills:
    Professional and polished communication skills with a client-first mindset.
  • Multi-Tasking:
    Ability to juggle multiple responsibilities and meet deadlines in a busy environment.
  • Proactive:
    A self-starter who anticipates advisor and client needs and takes initiative to address them.
