Accounts Receivable Specialist
Base pay range: $25.00/hr - $35.00/hr
Location: Waltham, MA
About the Role We’re seeking an experienced Accounts Receivable (AR) Specialist to help drive timely, accurate cash collection for a fast‑growing SaaS business. You’ll own a portfolio of B2B accounts—end users and partners in the healthcare industry—leveraging Salesforce and an ERP (NetSuite or similar) to apply cash, resolve invoice issues, and keep aging current.
Hybrid role: three days onsite in Waltham, especially important during training and ramp‑up.
Responsibilities
Cash Applications & Collections
Apply cash (lockbox/ACH/wire/credit cards) accurately; research unapplied or misapplied payments.
Execute outbound collections calls and email follow‑ups; document outcomes and next steps in CRM/ERP.
Billing Operations & Compliance
Complete vendor onboarding forms and maintain customer master data.
Validate tax certificates/exemption documentation; ensure required forms (e.g., W‑9) are current.
Prepare/submit credit memos or adjustments when needed, aligning with internal approval workflows.
Aging & Reporting
Update and run aging reports; monitor buckets and trigger appropriate dunning and escalation paths.
Add clear notes on payment status, disputes, and promise‑to‑pay dates for stakeholder visibility.
Cross‑Functional Collaboration
Partner with Sales, Customer Success, and Finance to resolve billing discrepancies and customer issues.
Support month‑end close activities related to AR; contribute to audit requests with organized backup.
Process Improvement
Recommend enhancements to collections workflows, dunning cadence, and data hygiene.
Assist in refining credit practices and controls (see “Pluses” below for credit limit experience).
Qualifications
3+ years of collections experience in B2B environments.
Direct experience with healthcare industry customers (end users and partner accounts).
Salesforce proficiency for account notes, tasks, and collections tracking.
ERP experience: NetSuite or comparable system (e.g., advanced AR/cash application modules).
SaaS/subscription billing understanding (e.g., recurring invoices, proration, renewals, dunning).
Proven ability to manage an AR portfolio, update aging reports, and follow through on overdue buckets.
Strong communication, organization, and attention to detail; comfort working onsite 3 days/week, especially during training.
