Grants Manager The Geballe Lab for Advanced Materials (GLAM) is a transdisciplinary Independent Laboratory within the Office of the Vice Provost & Dean of Research, spearheading innovative research in bio‑inspired materials, sustainable energy, quantum science, and electronic systems. GLAM operates with 32 faculty and ~250 students, postdocs, and scientific staff across six departments, and relies on 17 high‑performing administrative staff.

Position Summary GLAM seeks a Grants Manager (Research Administrator 2) to oversee pre‑award and post‑award financial and compliance efforts for a complex, high‑activity research portfolio. The Grants Manager reports to the Assistant Director of Research Administration and has a dotted‑line reporting line to the Managing Director.

Core Duties

Pre‑Award (40%)

Support 5‑7 senior faculty in preparing administrative components of grant proposals, reviewing documents for completeness and compliance, and communicating timelines.

Draft financial budgets, budget justifications, and other narrative documents; review budgets for GLAM faculty and verify compliance.

Apply and advise on university and government policies; pursue training and skill development opportunities.

Perform initial compliance reviews for proposals; ensure full compliance with extramural sponsor requirements; provide clear, concise feedback.

Review responses to pre‑award information requests and track budget revisions.

Reconcile Current & Pending Support documents as needed.

Post‑Award (40%)

Review and approve expenditures on existing awards; provide projections and forecasts on accounts.

Coordinate award set‑up, cost‑sharing tracking, and sub‑award processes with the Office of Research Administration.

Participate in contract closeout; submit final reports and certificates; compile documentation for audits.

Support reporting requests, perform quality assurance of data records, and build/explore GLAM systems.

Track deliverables and interpret award conditions; log and file progress reports; notify researchers of overdue reports.

Facilities Finance & Special Projects (20%)

Collaborate with Grants Manager, Facilities Manager, and Managing Director on billing, accounting, and faculty communications for GLAM’s nitrogen system.

Manage GLAM’s participation in the Stanford Science Fellows program, including account set‑ups and forecasting.

Maintain knowledge of sponsor guidelines and application systems; support process improvements.

Serve as a backup to other research administrators; undertake strategic initiatives as assigned.

Minimum Requirements

Bachelor’s degree and three years of relevant experience (or an equivalent combination of education and experience).

Technical & Operational Abilities

Quantitative competency in budget development, reporting, and analysis.

Strong financial accounting skills and knowledge of accounting principles.

Advanced proficiency in Microsoft Excel (including pivot tables and charts) and willingness to learn new technologies.

Ability to understand, interpret, and communicate policies and procedures from federal government, sponsors, and the university.

Strong organizational skills and comfort deploying new technologies for project management and data analysis.

Graduate degree preferred.

Experience with complex budget preparation for government or non‑profit agencies.

Flexibility to work during non‑standard hours as needed.

Physical Requirements

Frequently sit, grasp lightly, use fine manipulation, perform desk‑based computer tasks.

Lift, carry, push, and pull objects up to 10 lbs; rarely 11‑20 lbs.

Occasionally stand, walk, grasp forcefully, use a telephone, write by hand, sort, and file paperwork.

Compensation Pay range: $100,653 - $110,000 annually.
