Our client, a leading U.S. investment firm with an incredible reputation, is seeking an experienced Executive/Administrative Assistant to join its collaborative team in San Francisco.
Our firm offers the opportunity to support senior leaders within a high‑performing investment organization recognized industry‑wide for its culture, professional excellence, and commitment to long‑term impact.
The Opportunity The Executive/Administrative Assistant will partner with the existing EA team to provide seamless support to senior executives and the broader Investment Team. The ideal candidate excels in a fast‑paced environment, anticipates needs before they arise, and brings exceptional judgment, communication, and organizational skills.
Key Responsibilities
Provide integrated support for senior executives in coordination with the Executive Assistant team
Manage complex scheduling across time zones, email coordination, travel arrangements, and expense reporting
Coordinate team initiatives, events, offsites, and interviews
Serve as a go‑to resource for team operations, ensuring leaders are prepared for internal and external meetings
Partner with the administrative team on firmwide processes, logistics, and meeting support
Contribute to team culture through proactive communication, organization, and follow‑through
Support occasional office services needs, including meeting setup, visitor coordination, and supplies
What You Bring
3–5+ years of experience supporting senior executives, ideally within finance or investment‑focused environments
Strong written and verbal communication skills, polished and confident with senior stakeholders
Proven success managing complex calendars, international travel, and sensitive information
High level of organization, attention to detail, and ability to prioritize across multiple requests
Strong interpersonal skills, problem‑solving capability, and a collaborative mindset
Technical proficiency with Microsoft Office Suite; familiarity with tools such as Asana, Adobe Pro, Concur, and AI‑driven platforms
Bachelor’s degree strongly preferred
Salary range: $110,000–$135,000 DOE, plus discretionary bonus
